Administrative Full-time Net New Position

This HRIS Analyst is a member of the team accountable for the College’s Human Resources Information System and other technologies used within HR, including functional support and maintenance of the HR systems, ensuring HR organizational needs are met. The incumbent is also responsible for providing system support, training, analysis, reporting, and business process design improvements, which include business requirements, design, testing, and documentation. The responsibilities include, but not limited to, the production of standardized and customized reports, collaborating with various stakeholders, maintaining the accuracy and privacy of data, and other human resources functions, in a manner that is consistent with legislation, collective agreements, and college guidelines.

**Responsibilities**:
**HR Projects & Technology**
- Provides insight and expertise in the evaluation and implementation of HR functionality in the Enterprise Resource Planning platform
- Participates in the identification, planning, development, and implementation of ongoing processes improvement initiatives
- Works with the IT team on developing, testing, and implementing necessary HRIS modifications
- Works closely with IT to ensure that system updates are made in a timely and accurate manner, coordinating processes with other departments (i.e., Payroll) as necessary
- Creates and updates system user documentation
- Develops and distribute applicable user documentation and manuals to support the HRIS processes and procedures and provide advice and instructions to new users
- Works with external organizations to implement new HRIS and Payroll systems, as required

**HR Information Systems**
- Manages employee-related data, including the updating of personal information, wage progressions, and merit increase, and adjustments to part-time contracts
- Updates information in HR systems as necessary due to legislative or collective agreement updates
- Ensures systems accurately reflect entitlements based on requirements of the collective agreements and terms and conditions of employment
- Troubleshoot and problem-solve requests on a daily basis, supporting user needs, responding to inquiries, addressing issues experienced by users and as well as system issues Proactively identifies and responds to customer needs, ensuring speedy resolution of issues, and providing continuous service improvement
- Investigates and resolve HRIS-related problems in collaboration with the appropriate parties (other HR staff, managers, employees, or IT)
- Provides individual and group training on HR-related systems and processes
- Maintains and Supports the Partial Load Registry
- Using technical and process expertise to track HR data and information, review trends and perform analyses, provide reports, and provide recommendations to managers.
- Formulating advice to colleagues and managers based on data gathered
- Contribute to the development and review of access criteria and determine users' appropriate level of access

**Reporting & Documenting**
- Provides a large variety of complex HRIS reports, statistics, and analyses to others in the HR department, HR leadership, managers, the Council, the Ministry, and other government agencies, reviewing all reports for accuracy
- Work closely with departments who manually input SWF data and pull data from SIS to combine for the annual SWF report for the Council. Ensure that all data has been input, accurate, and submitted correctly and by the requested date
- Works with IT and Stakeholders for the creation of new standardized or ad-hoc reports

Qualifications:

- Two-Year Diploma in Business, preferably in Human Resources
- Three years of related work experience
- HRIS expertise with strong technical aptitude, computer proficiency, and sound working knowledge of Microsoft Word, Excel, and SharePoint
- Strong analytical skills, statistical acumen, and experience implementing process improvements
- Strong verbal, presentation, and written communication skills, problem-solving and organizational skills
- Ability to prioritize with multi-tasking skills, strong attention to detail, and an ability to work independently and take initiative
- Strong customer service and relationship-building skills and an ability to maintain confidentiality regarding sensitive issues in a professional manner
