Job Description Summary
Provides financial support to the Department of Computer Science. The Department of Computer Science is home to approximately 60 Faculty, 50 staff members, 150 graduate students and more than 9,000 students in CS courses. Responsible for the preparation, accuracy, and processing of financial documents in Workday, including payment requisitions, payroll accounting journals, and travel claims. Coordinates and assists with Purchase Order set up and payment, internal shared services billing; generates invoices for external vendors and sponsors; provides financial backup during the Senior Finance Assistant's absence.
Ensures transactions are in compliance with UBC, Faculty of Science, CRA, and all applicable government granting agencies policies and procedures.
As a front line member of the department Finance Team, the incumbent is expected to play a key role in providing information and guidance to department members on a variety of UBC and departmental financial policies, procedures, processes and timelines.
Organizational Status
Works independently under the general supervision of the Senior Finance Assistant in the Department of Computer Science and works as a member of the Department of Computer Science Finance Team.
In the Faculty of Science, departmental finance teams report to the departmental administrator (in Computer Science, the Director of Finance and Administration) for work direction and to a Senior Finance Manager in the Dean's Office for financial practices.
Liaises with individuals in Financial Operations and other University departments.
Work Performed- Receives, reviews, and processes all financial transactions on Workday, including: reimbursement requests, travel advances and travel claims, journal vouchers, wiretransfers and cash deposits. Ensures compliance with UBC, Faculty of Science, CRA, government granting agencies policies and procedures. Ensures required supporting documents are provided, proper authorization, correct GST/PST/HST assessment; and self-assessment of taxes if necessary.- Receives reimbursement request from in house ticket system for all requisitions, the incumbent reviews backup documentation, verifies for eligibility and accuracy of information including proper account coding. Ensures proper authorization and proper backup documentation is obtained prior to processing in Workday and follows up with the payee/PG holder as required. Ensures data entry of requisitions into Workday in a timely manner to ensure payment occurs as soon as possible.- Responds to queries and provides support to students, staff and faculty in the department to help in the valid preparation of claims, reimbursements, payments and purchase orders, relaying posted financial policies and procedures as relevant.- Prepares and processes journal vouchers for internal and external cost reduction allocations; maintains records for internal shared services billing and cost recovery to department service units. Ensures all supporting documentation is attached and within compliance with UBC, Faculty of Science, CRA, government granting agencies policies and procedures.- Enters cash receipts for cheque and cash payments received and prepares cash deposit bags for deposit, updates the Cash Deposit Log accordingly in a timely manner.- Administers Supplier set up process by collecting required information and entering/updating vendors into the Workday.- Assesses the accuracy of GST, PST and/or HST on invoices and self-assesses such taxes where necessary.- Prepares/reviews Purchase Order invoices to ensure compliance with contract terms and adequacy of supporting material and works with Supply Management to ensure Purchase Orders are correctly maintained, charges are allocated correctly, and discrepancies are resolved.- Prepares invoices for external vendors, sponsoring agencies faculty in accordance with terms and conditions of the agency, UBC policies/procedures.- Monitors accounts receivable and payable; investigates and resolves suppliers’ problems; initiates collection of outstanding receivables by checking unclaimed wire transfer report from central finance periodically and ensures suppliers are paid promptly.- Reconciles department and individual Visa card on a weekly basis, verifies for eligibility and accuracy of information.
