- JOB SUMMARY
- The Recruitment and Admissions Manager is responsible for developing, planning, and implementing all recruitment and admissions activities for the School of Music. This role assists the Recruitment, Admissions, and Scholarship committee with creating the outreach, engagement, and admissions strategy for the school, and manages the full admissions process from initial prospective student outreach through acceptance into the undergraduate program.
- ORGANIZATIONAL STATUS
- The Recruitment and Admissions Manager reports to the Manager, Administration. Works closely with School of Music faculty and staff, Faculty of Arts staff and UBC Enrollment Services.
- Works with the Chairs of the Graduate and Undergraduate Committees and Recruitment, Admissions and Scholarships Committee.
- WORK PERFORMED
- Develops, implements and evaluates the outreach, engagement, and recruitment strategy for the School in collaboration with Recruitment, Admissions and Scholarships Committee.
- Develops and implements policy, procedures, and priorities to support recruitment and admissions in collaboration with the Manager, Administration.
- Develops and implements special recruitment projects in supporting faculty members.
- Works with faculty members to identify outreach opportunities.
- Proactively builds and strengthens the School of Music’s connection with the local music community
- Plans, coordinates, and presents at recruitments events on campus, at conferences, high schools, and professional music events as well as at online/virtual events.
- Coordinates opportunities for high school students to attend on campus clinics and events
- Initiates follow up with prospective students, including individual advising sessions and School of Music specific campus tours.
- Compiles and analyses data regarding outreach and recruitment strategy and makes recommendations for improvement. Implements and coordinates approved changes.
- Maintains active knowledge of recruitment and admissions technologies used across UBC (such as Degree Navigator) and implements use of these technologies in the recruitment and admissions process
- Collaborates with communications team to promote recruitment initiatives and develop prospective student advertising.
- Researches, writes and edits publications for recruitment initiatives and student communications.
- Manages the full admissions process from initial prospective student outreach through acceptance into the program
- Manages scholarship and award administration
- Responds to complex admissions questions
- Oversees the coordination of the undergraduate audition processes, often organizing approx. 250 live auditions with 45 faculty members
- Liaises with UBC Undergraduate Admissions to ensure admissions standards and procedures are aligned with wider UBC policies.
- Acts as a liaison with Music Undergraduate Society
- Researches, compiles and analyzes admissions statistics and creates summary reports; Maintains applicant data to help support decision making and analysis on incoming student body
- Works with the Director and Division Chairs to develop and deliver an annual program of career development workshops
- Oversees practice room scheduling.

- CONSEQUENCE OF ERROR
- Misinterpretation of University, Faculty and School policies could cause students serious difficulty in attaining their educational objectives. Poor performance in this position would contribute to inefficient operation and low quality service being provided by the School of Music. This in turn, would affect the reputation and credibility of the School of Music and the University. Lack of sensitivity to cultural diversity, disability or personal issues when interacting with students would have an adverse effect on student experiences and, potentially, their academic success.
