Clinic Receptionist

We are a dynamic and patient-centered clinic specializing in physiotherapy, chiropractic, and massage therapy treatments. Our team is dedicated to providing exceptional care in a welcoming and professional environment.
We are looking for a friendly and organized **part-time** **Clinic Receptionist** to be the first point of contact for our patients and ensure the smooth operation of our clinic. This will be a contract position to cover maternity leave from October 15, 2024-April 2026. Training will start at the beginning of October, with a hiring timeline of mid to end of September. You will be reporting to the owner of the clinic and in close, online communication with the clinic manager while they are on leave.
You must be available for the following shift times:
- Monday, Wednesday: 9:00AM-6:00PM
- Tuesday, Thursday: 9:00AM-1:00PM (with the potential of this changing to 9:00AM-6:00PM in the coming months for peak season)
Key responsibilities and duties are as follows:
- Opening and closing the clinic.
- Greet and welcome patients as they arrive at the clinic.
- Manage the clinic’s appointment scheduling system (Jane & ChiroThrive), including booking, rescheduling, and confirming appointments.
- Answer phone calls, send faxes, and respond to texts in a professional and timely manner using our phone VoIP system, Telus BizConnect.
- Process patient intake forms and ensure accurate data entry into the clinic’s management system.
- Handle billing, payments, and insurance claims processing through Jane and through external insurance portals (Telus Health, Sunlife, etc).
- Assist patients with any inquiries regarding their treatments, billing, and insurance coverage.
- Coordinate with healthcare practitioners to ensure smooth patient flow and timely appointments.
- Maintain a clean and organized clinic and reception area
- Manage patient files and ensure confidentiality and security of patient information.
- Assist with administrative tasks as needed, such as ordering supplies and managing inventory.
Qualifications:
- Previous experience as a receptionist or in a customer service role, preferably in a healthcare/wellness setting.
- Strong organizational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to multitask and work efficiently in a fast-paced environment.
- Proficiency in using office software, including scheduling and billing systems.
- A positive and professional demeanor with a commitment to providing excellent patient care.
- Knowledge of physiotherapy, chiropractic, and massage therapy is an asset, but not required. Training will be provided.
- Experience with Jane appointment system
- Previous experience with billing insurance companies using their respective portals
**Job Types**: Full-time, Part-time, Fixed term contract
Contract length: 18 months
Pay: $20.00 per hour
Expected hours: 25 - 37 per week
