**Join our dynamic team as a Partnerships + Events Officer**
- **Make an Impact**: Support the planning and execution of our Foundation’s signature events, community partnerships, and donor relations events.
- **Build Connections**: Develop and maintain strategic partnerships between the business community and our Foundation.
- **Key accountabilities include**_:_
**Signature Events Coordination**
- Ensure Event Success: Assist in executing events and creating meaningful experiences for guests.
- Source Resources: Find suppliers, materials, décor, entertainment, and unique elements with cost-saving opportunities in mind as per the design plans.
- Auction Management: Works with the Senior Manager to create silent auction item procurement plan, delivery plans and gratitude strategies, while taking ownership to execute with Event Committee Members and Foundation Staff to meet revenue targets.
- Coordinate Volunteers: Organize event volunteers, volunteer recruitment, orientation, scheduling, on-site work for events.
- Support Committees: Works with event committees, prepare agendas, take meeting notes, track solicitations, coordinates debrief and celebration meeting, and maintain committee calendars.
- Solicit Sponsorships: -manages a portfolio of sponsors under the direction of the Senior Director of Partnerships + Events.
- Stay Informed: Self-directed education on event trends, popular activities, and new supplies and vendors.
**Marketing + Communications**
- Communicates regularly and professionally with event committee members, suppliers, stakeholders, volunteers, and staff as needed.
- Write compelling, concise, and complete descriptions for auction items.
**Corporate + Community Partnership Relationships Coordination**
- Under the direction of the Partnerships Manager, coordinates BCWHF presence at large community events, including purchase and transportation of materials.
- Work with smaller community partners to support their efforts and optimize their fundraising potential with resource efficiency.
- Supports activating community partner recognition plans.
- Researches and identifies prospective cash and in-kind donors for events, compose proposals for donations and follow-up.
**Records and Reporting**
- Updates Raiser’s Edge database (e.g. proposals, actions, relationship updates, creates new event/campaign ID’s).
- Tracking of event payments and registration for sponsors and attendees.
- Provides weekly report of activities and projects under your responsibility.
- Coordinates post-event follow-up reports and tracking data.
**Financial Responsibilities**
- Tracking and recording event related expenditure and team expenditures.
- Works with team members to manage sponsor and donor payments.
- Contributes to revenue generation through the solicitation of in-kind gifts, small community partnerships, and small sponsorships.
**Your background and experience includes**:post-secondary education in business or fundraising, and at least 3 years’ experience in event organization in a fundraising environment (or an equivalent combination of education and directly related work experience).
- Demonstrates strong attention to detail, excellent organizational skills, and proficiency in maintaining accurate databases and written records.
- Ability to manage multiple priorities and event logistics simultaneously with strong problem-solving skills.
- Ability to exercise initiative and self-motivation.
- Excellent interpersonal skills and the ability to work collaboratively and establish positive professional relationships with individuals and groups, both internal and external.
- Strong written and verbal communication skills particularly as it relates to event communications and marketing.
- Proficient in gathering necessary information through proactive outreach efforts.
- Good understanding of event logistics and event sponsorship practices.
- Good understanding of prospect and donor relations best practices.
