We are looking to fill the role of the Executive Assistant to the City Manager.

Reporting to the City Manager, the Executive Assistant will support the City Manager by providing confidential, executive level administrative support by providing clerical support, overall executive coordination, arranging travel and correspondence, and scheduling meetings. The Executive Assistant will play an important role in assisting the department in achieving its goals and objectives. They will work harmoniously in a team position with other staff and contribute to a positive culture in the workplace. They will act in a professional manner towards the City Manager, Council and their colleagues and will understand and adhere to City policies, procedures and standards.

**KEY DUTIES & RESPONSIBILITIES**:

- Keep the City Manager informed on priorities, commitments, deadlines, team projects, initiatives, council agendas, public hearings, and other relevant information.
- Provide general clerical and office support to the City Manager and Mayor including letters of support, and other correspondence.
- Assist with the preparation of reports, collect, and analyze information and prepare presentations as requested by the City Manager
- Create monthly reports for City Manager on outstanding projects and updates on current initiatives.
- Schedule and arrange travel and accommodations for conferences and other events for the City Manager and Council as well as arrange food and meeting spaces for committee meetings.
- Prepare agendas, correspondence, and supporting materials for meetings of Council and Committees of Council
- Responsible for record management of corporate documents including by-laws, resolutions, agreements, agendas, minutes, and other documents as required.
- May assist with the operations of the Municipal Elections
- Oversee the city’s Municipal Grant Program by tracking and processing grants and handling communication between applicants.

**MINIMUM REQUIREMENTS**:

- Diploma or degree in areas of Public Sector, Business Administration, or Political Science is a strong asset, but not required.
- Experience in municipal government is considered a strong asset.
- Some form training in Business, Administration or Public Sector required.
- Minimum 3 years’ experience in Administration required.
- Must submit a satisfactory criminal record check.
- Holds or is willing to obtain Commissioner of Oaths and other required training.

**KNOWLEDGE/SKILLS/ABILITIES**:

- Demonstrated ability to use discernment, reliable judgment and analytical problem-solving skills, and work in a confidential environment.
- Detail oriented and ability to compile research and information.
- Excellent written and oral communication skills are required.
- Excellent computer skills are required with a strong knowledge of Microsoft programs including Word, Excel, and Outlook.

**JOB DETAILS**:

- Full-time, permanent position with occasional evenings and weekends required.
- 37.5 hours per week with occasional overtime
