**Job Summary**
We are seeking a dedicated and organized Nursing Secretary to join our team. The Nursing Secretary reports directly to the Director of Care, managing the day to day operation of the Nursing Department, scheduling human resources and providing physical supplies and equipment required by nursing and interdisciplinary staff and Residents. This position is the receptionist for the Nursing department, coordinating incoming telephone calls and requests from other health care agencies, doctor’s offices, suppliers, pharmacy etc.
EDUCATION/EXPERIENCE:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
1. Secondary School Graduation Diploma - (grade 12 general accounting or equivalent) - mandatory; and
2. Graduation from a recognized Community College courses in accounting, Microsoft Office, Spreadsheet and database management software - preferred; and
3. Minimum of two
- (2) year’s experience in an accounting position or related position. Experience in Long Term Care preferred.
**Responsibilities**:
- Co-ordinate/facilitate tours of the home
- Act as a primary contact for residents and families to field incoming inquiries and provide appropriate direction (reception)
- Offer support during the move-in/transfer and discharge of Long Term care residents including the completion of the admission agreement
- Compile administrative files, and maintain records in accordance to Belvedere Heights’ policies and procedures
- Assist residents in accessing financial supports available to them (ie. Northern travel grants)
- Mange accounts receivables, resident billing and resident trust accounts
- Assist with restoration of financial issues (ie: pay bills from trust, or file overdue taxes)
- Manage and process annual Rate Reductions
- Tracking resident appointments and supporting with transportation coordination
- Provide administrative support to Administrator/DOC/ADOC
- Orders and monitors nursing supplies including incontinence products
- Organize care conferences and physician on call (monthly)
- Engage Residents and families in the celebration of staff successes and years of service
- Execute special events for Nurses week
- Act as a support and advocate for residents rights in areas such as independence, managing and maintaining social and family connections
- Organize annual fundraiser
- “Tree of Memories”
- Record donations and send Thank you letters
- Connects with agencies and community partners to seek new services and opportunities for residents
- All other duties required that are necessary for the welfare of the residents and the efficient operation of the home
- Assist with organizing, scheduling and completing interviews and reference checks for the Nsg department as requested
- Assists in office processes during peak work times.
- Vacation relief for other clerical staff in office.
**Skills**:
- Proficiency in English is required; knowledge of additional languages is a plus.
- Strong organizational skills with attention to detail.
- Experience with computer operations, including Microsoft Word and Excel.
- Previous experience in a healthcare environment or as a nurse is preferred but not mandatory.
- Ability to communicate effectively with diverse groups of people.
- Excellent time management skills to handle multiple tasks simultaneously.
- A proactive attitude towards problem-solving and improving office processes.
Pay: $25.77-$28.22 per hour
Expected hours: 37.5 per week
