**Position Overview**:
Perform day-to-day duties and support to the In-Home Services team to ensure the agency’s quality standards and practices are attained.
**Primary Duties & Responsibilities**:
- Perform a wide variety of administrative support.
- Maintain records and documentation for new and existing clients.
- Responsible for office supplies and placing orders to appropriate personnel.
- Maintain and distribute emergency PPEs and supplies, including tracking of inventory in and out.
- Assist the Program Coordinators and Supervisors with PSW Time Sheets reconciliation and other administrative tasks as needed.
- Maintain PSW Time Sheet files.
- Responsible for overall office operations and directing incoming mail and fax.
- Answer incoming calls in a courteous and efficient manner; pre-screens and re-directs calls to appropriate staff.
- Assist with the coordination of the training sessions and distributing of training supplies.
- Maintain the PSW training record and enter education and training updates into staffs’ CIMS profile.
- Data entry and assist with PPT and related material for lectures and presentation.
- Maintain the emergency supply storage for the office.
- Maintain a neat and presentable office environment.
- Maintain clients’ files (filing and retrieving).
- Perform other duties and responsibilities as directed by Program Manager.
**Job Specifications**:
- College diploma in administration or a recognized equivalent.
- Computer skills (Microsoft Word, Excel, Outlook, PowerPoint) and keyboarding (50 wpm).
- CIMS and AlayaCare experience is an asset.
- Effective communication skills and courteous telephone etiquette; able to defuse and resolve difficult situations and complaints.
- Sensitive and responsive to client and staff diversity (culture, age, language, condition) and communication challenges.
- Customer focused with excellent interpersonal skill.
- Ability to speak another language is an asset.
- Excellent organizational skills, attention to details, and multi-tasking skills.
- Ability to take initiative, work independently and as a team contributor in a fast-paced environment.
- Ability to effectively set priorities, meet strict deadlines and work with minimum supervision within a team environment.
- Detail oriented with an ability to evaluate and respond to changing priorities..
- Self-motivated.

**Work Conditions and Physical Capabilities**:
- Typically 8:30-4:30 and flexible after office hours for Staff Training sessions.
- Office environment, with significant computer and telephone use.
- Can lift and/or carry 6-13.5 kg (15-30 lb.).
