**Position Summary**:
Reporting to the Town Clerk, the Legislative Coordinator provides confidential administrative support, which includes: generating agendas, recording, and producing minutes for Council, Boards, Standing Committees, and various advisory committees; providing procedural advice as required; and administrative support to the Clerk’s Office as necessary. The Legislative Coordinator coordinates the processing of existing and new agreements and contracts entered into by the Town. This includes circulation, documentation, recordkeeping, notifications, milestone tracking and administration.
**Key Duties and Responsibilities**:
- Act as the agreement Coordinator for all existing and new agreements and contracts entered into by the Town ensuring proper signoffs for execution are obtained, including contract milestones, tracking and administration. When required, ensure Agreements are registered on title.
- Provide notification to all advisory Council, Committee and Local Board members as well as the public of all respective regular and special meetings.
- In collaboration with the appropriate staff resource, prepare agendas, in the prescribed format, together with accompanying explanatory materials for Council, Committee and Board meetings.
- Ensure delegations are scheduled as appropriate.
- Secretary-Treasurer of the Town of The Blue Mountains Committee of Adjustment
- Attend all official meetings, arriving early to ensure room accommodations and accessibility are appropriate and all equipment is functioning properly, and any meeting material is set out in advance. Ensuring copies of agendas are available for members, media and the public at all scheduled meetings.
- Ensure that electronic participation, if permitted, is appropriately functioning prior to the start of the meeting, as well as initiate streaming of the meeting if available and end streaming at the adjournment of the meeting.
- Provide advice regarding procedural matters as they arise and consult with the Town Clerk as may be necessary.
- Record and prepare minutes, in the prescribed format, for each meeting for distribution and inclusion with the agenda package of the next regular meeting, or for electronic circulation for approval. Resource staff and/or Town Clerk may be consulted for review prior to distribution.
- Commission documents to provide a service for the public as a Commissioner of Oaths on behalf of the Town.
- In the absence of the Deputy Clerk, issues Alcohol and Gaming Commission of Ontario Lottery Licenses, ensuring eligibility requirements are met and follow-up reporting from licensees is received.
- Assist in the training of staff with the agenda management system.
- Ensure that all meeting material including agenda packages, correspondence, reports, presentations, etc. are maintained in an electronic, accessible format for all board and advisory committee meetings.
- Perform clerical and administrative functions for the department, which includes mail duties, photocopying, binding, scanning, and sorting materials, as required.
