ORGANIZATIONAL STATUS
Reports directly to the Senior Manager, SHCS Safety Management Systems, and works closely with the SHCS OHS team, the SHCS Payroll Manager, SHCS HR, various other SHCS managers, and the leadership team. The position has a dotted reporting line to the Director, Finance and Payroll regarding claims costs and financials. This position takes direction from the Manager, Workplace Health Services, to ensure continuity and central alignment related to claims matters. The Safety and Claims Associate has responsibility for the daily supervision and performance management of the SHCS Safety and Claims Coordinator (CUPE 2950).
Works collaboratively with all units and sections within the SHCS portfolio, as well as other UBC departments including but not limited to UBC-O Food Services, Safety and Risk Services (SRS) and Workplace Health Services (WHS).
WORK PERFORMED- Responsible for the overall administration of Occupational Health and Safety for Student Housing and Community Services.- Develops and maintains efficient departmental practices and systems for managing Occupational Health and Safety for SHCS, ensuring alignment with UBC policies, procedures, and compliance with all applicable legislative obligations.- Provides leadership and direction to the SHCS Safety and Claims Coordinator (CUPE 2950). Is responsible for the training, coaching, performance management, daily supervision, and work allotment of this position.- Develops and manages the Occupational and non-Occupational claims management program for each of the eight, diverse operating departments within SHCS (Childcare Services, Student Housing, Food Services, Conferences and Accommodations, Facility and Building Services, Bookstore, Campus Mail, Parking and Access.)- Advises SHCS managers regarding complex occupational claims management, including how best to navigate claim protests, suspected fraud, collective agreement interpretations, UBC best practices, in accordance with WHS current practices.- Researches evidence for audits related to claims management processes and safety compliance obligations.-
- Monitors and evaluates Safety and Claims program effectiveness through ongoing data analysis in support of evidence based decision making. Establishes and analyzes metrics related errors in the claims processes.- Manages complex non-occupational claims files, including but not limited to ICBC; leveraging expert knowledge and utilizing resource network to provide the various SHCS operating departments accurate recommendations and insights. Oversees the response process for ICBC lawyer inquires to ensure accuracy, consistency, and alignment with UBC central processes.- Works collaboratively with SHCS procurement and SRS to ensure SHCS contractor coordination obligations are met.- Works collaboratively with SRS Privacy division to ensure established UBC privacy obligations are being consistently met in SHCS with regards to OHS and claims management and records processes.- Responsible for the administration of SHCS OHS medical surveillance obligations, including but not limited to the vaccination program, hearing testing, respirator fit testing, and vision testing for SHCS employees.
CONSEQUENCE OF ERROR
This position requires sound judgment, tact, discretion and initiative to a high degree. Errors in judgment with internal or external stakeholders could have negative impact on the Department and the University potentially resulting in poor employer/worker relations, WorkSafeBC orders and monetary fines, and unnecessary financial claims costs.
