As part of the Dufferin Gate Studios team, the Facilities Coordinator will work closely with clients (production companies) occupying facilities under the DG umbrella (commercial buildings around the GTA) and will be responsible for ensuring exceptional customer service is provided to our clients.

The key objective is seamless interaction with tenants and the facilities team as a liaison to ensure that service requests are completed in a timely manner. The Facilities Coordinator will partake in Sales tours with Management and will act as the primary point of contact for all things related to our facilities. We are looking for someone who is customer service driven and enjoys administrative work.

**DAY-TO-DAY RESPONSIBILITIES**:

- Organize and maintain administrative duties such as maintenance of information into spreadsheets, keeping details on file for record keeping, placing service calls, managing monthly tenant billables, purchase orders and other related job functions.
- Develop and maintain an effective line of communication with all DG staff, tenants, and vendors.
- Commute to various locations to facilitate site visits, client tours, meter reads and client check ins, communicate with different client departments as advised.
- Coordinate with site staff and liaise with various internal teams to provide support as required
- Managing the communication and execution of any client requests related to their rental space.
- Connecting with vendors accordingly to gain resolution if a client request needs to be answered. (Set up furniture and connection of phones, WIFI/internet, photocopiers etc.)
- Assisting Management with facility related items as required (I.e.: Conducting a to-do list for repairs/pending items for each location, attending sales tours as requested.)
- Maintaining organization of the all-license agreements in individual shared drive folders and collecting up-to-date Certificates of Insurance (COI's) from clients upon execution or prior to production move-in.
- Onboarding (move-in) and offboarding (move-out) clients according to agreement dates (setting up the rental space with all necessary services as discussed by Management and laid out in the client’s agreement.)
- Coordinating onboarding (move-in) and offboarding (move-out) walkthroughs with clients to determine condition of the offices/studio before and after use.
- Submitting additional fee forms to reception and accounting and approving all invoices related to facilities.

**Other requirements**:
- Must drive a vehicle and valid driver’s license
- Prior level of knowledge of Canva to create and update company floor plans and brochures
- Prior level of knowledge of Airtable & Google Suite to track administrative tasks and client information (company database)
- Ability to attend mandatory work events if requested by Management (film festivals, film premiers, BBQ’s, DG related events etc.)
- Ability to maintain confidential information and composure

**Salary**: $55,000.00 per year
