The position assists in the operation of the Corporate Services department by providing administrative and advisory support in a range of functional areas including Council liaison; municipal elections; _Vital Statistics and Marriage Act_; _Municipal Freedom of Information & Protection of Privacy Act_ administration; municipal property matters; by-law, report, and notice preparation; and research. The position also manages licensing and insurance claims.

**KEY AREAS OF RESPONSIBILITIES AND DUTIES**

**Council, Boards, and Committees**
- Preparation of agendas for Council and various Boards or Committees.
- Draft and edit municipal documents including by-laws, resolutions, and legal agreements.
- Research and update new policies and by-laws.
- Draft minutes arising out of meetings.
- Responsible for correspondence, reports, and other follow up matters after meetings.
- Attend and record minutes of Council or committee meetings, as required.
- Provide support to members of Council, Boards, and Committees.
- Participate in all matters relating to municipal elections.

**Licensing**
- Issuance of burial permits and marriage licenses and maintenance of records.
- Administration of various municipal licensing processes and permits (i.e. Hawker’s and Peddlers, Kennel, etc.).
- Perform weddings
- Legal and Claims
- Respond to and maintain records of Freedom of Information requests.
- Maintenance of insurance and other legal claims.
- Oversee Livestock evaluation process.
- Act as Commissioner of Oaths.

**General responsibilities**
- Provide support to the Chief Administrative Officer and Director of Corporate Services during collective bargaining.
- Support to Corporate Services, including human resources matters.
- Update and maintain Policy Manual.
- Provide support in municipal property matters.

**QUALIFICATIONS**

Post-secondary degree or diploma in a legal, public administration, administration, or related field.

Completion of or working towards the AMCTO municipal professional, municipal administration, or similar.

Five (5) years’ experience in an administrative setting.

Proficient in both official languages (written and oral).

Demonstrated verbal and written communication skills combined with proven organizational abilities.

Excellent writing skills with the ability to draft and edit professional reports and correspondence.

Excellent public relations skills to deal courteously and discreetly with all levels of staff and government, elected officials, local boards/commissions, community groups and organization, and the general public.

Knowledge and understanding of relevant government legislation, including _Municipal Act_, _Elections Act_, and _Municipal Freedom of Information & Protection of Privacy Act._

Knowledge of municipal policies and procedures.

Experience with Adobe Professional for editing documents, creation of forms, etc.

Ability to multi-task in a fast-paced environment, effectively prioritize activities and manage stress with a high degree of maturity and professionalism are critical.

Must be capable of attending evening and off-site meetings.

Must be a self-starter and independent worker.
