**Assistant Manager**
**Reports to: Store Manager, District Supervisor and Owners**
**Directs: Retail Team Members**
**Purpose**:
The Assistant Manager (AM) is responsible for helping the Manager when they are not at the store and on weekends, acting as their eyes and ears and stepping in to make sure the store is running smoothly. The (AM) is responsible for increasing sales and profits by being responsible for the oversight of the day-to-day functions of the store as the Manager’s right hand, as well as the customer experience. This includes upholding company standards in all areas of the store (inside and out), properly ordering inventory from head office based on items sold, remaining aware of customer needs, and monitoring and ensuring fast, accurate and friendly service at the cash registers and on the retail floor. The (AM) will work side by side with their team members observing their performance, providing coaching and training when needed. The (AM) will set a good example to their team members on how to dress, help customers, how to have a positive attitude and to set the pace for doing regular duties in the store. The (AM) is guided by Harmony’s policies and values.
**Duties and Responsibilities Include**
- Creating a to do list daily when the manager is away to make sure daily duties such as cleaning and restocking products are getting done.
- Ensure staff are completing tasks and providing the best possible customer service. Chit chatting and hanging behind the counter is kept at the very bare minimum and reprimanded when needed.
- Update manager if there are any staff conflicts or if work performance by other staff members must be improved, including but not limited to failing in the following areas: Get to work on time, provide proper service, fail at product knowledge, stunted in growth, or create conflict with other staff members.
- The assistant manager must be able to understand in great depth the material used in products we carry, most significantly in jewelry products, wear and care of these items and consistently provide that information to the customer. Knowledge based service is the Harmony preferred method.
- The assistant manager should ensure that store maintenance is kept up (store looks clean, welcoming, up to Harmony standard).
- The assistant manager should be checking to see if all staff members understand and carry the same in-depth knowledge of wear and care and materials. If not, then provide that to them and require them to do research during work hours when the store is slow.
- Duties left by the Manager and/or Supervisor are getting completed in a timely manner.
- Ensuring customers always come first and providing training to other staff members on how to best assist, greet and provide knowledge based service.
- In the case that the manager is on vacation or away sick, you will be responsible for the following: scheduling issues, payroll, store maintenance and emergencies. This means you must make sure appropriate changes are made to make sure shifts are covered and any late, sick call ins or switched shifts are marked on the stores calendar.
- Any major schedule changes must always be approved by the head office when the store manager is away before it is sent to staff.
- Once the manager contacts their assistant manager that they have an emergency or that they are calling in sick and can not find a part timer to cover their shift it is up to the assistant manager to cover the manager as acting manager at the store.
- It is the assistant manager’s responsibility to understand all store policies and how to make exceptions for returns and exchanges.
- Will be partially responsible for accepting Store Transfers and Stock orders in the POS system.
- Can do Payouts for store supplies when needed.
- Ensure Daily Sales Envelopes match the P.O.S system Sales Summary Page.
- Any issues that occur in a day must be explained on the monthly Error Sheet (this allows for accounting to track the situation faster). Full explanations are required including employees involved, invoice numbers involved. Primarily handled by the manager, but AM should know how to track errors if manager is away.
- Will be responsible for doing the deposits when the manager is away, or the manager asks for it to be done.
- The assistant manager may be asked to help with any other manager’s duties and or projects after receiving appropriate training.
- Handle any store emergencies, contacting the appropriate people such as (mall security, police, ambulance, head office and store manager, Rogers, Paymentech etc)
