**Responsibilities**:

- Greet clients and staff in a friendly and professional manner, both in person and over the phone.
- Maintain and manage our telecommunication system.
- Schedule meetings and appointments efficiently.
- Provide general administrative and clerical support.
- Keep the lobby area organized and presentable.
- Assist with various tasks as needed.
- Communicate with vendors.
- Set up and manage Zoom, Google, and Joan meetings.
- Document and communicate actions and needs to ensure continuity among work teams.
- Prepare beverages for clients and keep the kitchen tidy and stocked.
- Maintain cleanliness of the hot beverage station.
- Water office plants regularly.
- Handle office mailings and supplies.
- Organize team lunches.
- Scan documents as we are a paperless office.
- Coordinate with our IT partner to resolve phone, copier, and internet issues.
- Implement and document new procedures and administrative systems.
- Organize and service meetings, including producing agendas and taking minutes.
- Ensure the conference room is well-equipped with office supplies, food, and drinks for meetings.

**Requirements**:

- High school diploma or GED.
- Prior receptionist experience is preferred.
- Excellent customer service and communication skills.
- Highly organized with the ability to multitask.
- Professional demeanor and appearance.
- Ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite and G Suites.
- Experience with CRM systems.
- Proactive and able to take initiative.
- Experience in a finance environment is an asset.
- Adaptable and able to switch between tasks as priorities shift.
- Must love dogs.
