Reporting to the Head of the Department of Anesthesia and the Senior Director of Operations or designate, and in accordance with established policies, standards and procedures, this position performs a range of administrative and secretarial duties within the Department of Anesthesia.

**What you’ll do**
- Arrange and confirm appointments as required; arrange meetings as requested.
- Provide administrative support related to the undergraduate and post-graduate university programs.
- Answer telephone inquiries, takes messages and redirects calls. Receive patients and visitors and direct to appropriate area.
- Discuss inquired for information with a variety of senior positions, both internally and externally, in order to obtain and disclose information, and answers routine and non-routine inquiries by determining the nature of the problem, providing information directly and/or corresponding.
- Maintain spreadsheets for assigned projects and record budgetary expenditures accordingly.
- Obtain journal articles and books, and copy articles as requested.
- Receive and distribute incoming mail and process all outgoing mail as required.
- Maintain office stationery and supplies by requisitioning items as needed.
- Maintain office equipment such as computers, printers, photocopier and fax machine by identifying problems, taking corrective action, and arranging for repair service as required.
- Record exceptions/changes to standard timesheets (Anesthesia Fellows) and submit information to Payroll electronically by defined deadline.
- Perform other related duties as assigned.

**What you bring**

Education, Training and Experience
- Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three years recent related experience or an equivalent combination of education, training and experience.

Skills & Knowledge
- Ability to keyboard at 60 w.p.m.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Ability to organize work.
- Physical ability to carry out the duties of the position.
- Ability to operate related equipment.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
