Clerk/receptionist, Mental Health and Substance Use

Detailed Overview:
Reporting to the manager or designate, the Clerk/Receptionist performs a variety of reception and clerical duties such as receiving visitors/clients, word processing, attending meetings and recording minutes, preparing correspondence, sorting and distributing mail, answering the telephone, filing, photocopying and maintaining files and office supplies.
**Responsibilities**:
- Receives and directs clients, couriers, volunteers and the general public to appropriate person(s) or areas; responds to general inquiries.
- Answers the telephone in the main telephone area; responds to and refers inquiries; redirects calls and/or relays messages to staff and clients.
- Arranges and confirms appointments, arranges meetings and books meeting rooms. Attends meetings as required and records, transcribes and distributes minutes.
- Processes incoming and outgoing materials; maintains filing systems, records, informational material and office supplies inventory; performs photocopying tasks.
- Maintains records such as supply and equipment inventories, and departmental operating statistics etc.
- Organizes and maintains the department manuals and other relevant department materials.
- Receives, records, checks and balances cash transactions, including receiving payments, issuing receipts and maintaining a petty cash fund.
- Performs other related duties as assigned.
Qualifications:
**Education and Experience**
Grade 12 plus two (2) years' recent, related experience or an equivalent combination of education, training and experience.
**Skills and Abilities**
- Ability to keyboard at 50 w.p.m.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal effectively with others.
- Ability to organize work.
- Ability to operate related equipment.
- Physical ability to perform the duties of the position.
