We are seeking a friendly and organized Receptionist who will be the first point of contact for our company and ensure the smooth operation of our office.
**Responsibilities**:
- **Greet Visitors and Clients**: Provide a warm and professional welcome to all office guests.
- **Manage Phone Calls**: Answer incoming calls, redirect them to the appropriate staff members, and handle messages.
- **Administrative Support**: Assist in preparing documents, presentations, and other materials as requested by management.
- **Organize Meetings and Events**: Coordinate conference room schedules, book venues, and prepare necessary materials and equipment.
- **Maintain Office Order**: Ensure the reception area and common spaces are clean and orderly; monitor office supply levels.
- **Liaise with Suppliers and Service Providers**: Coordinate delivery services, maintenance, and other external services.
- **Support the Team**: Assist colleagues with various tasks as needed.
**Requirements**:
- **Education**: Diploma or degree in Administration, Communications, or a related field.
- **Experience**: Minimum of 1 year experience as a Receptionist or Administrative Assistant. Experience in the publishing or media industry is an asset.
- **Language Skills**: Fluent in English; knowledge of French or other languages is an advantage.
- **Computer Skills**: Proficient in Microsoft Office (Word, Excel, Outlook) and capable of operating office equipment.
- **Personal Qualities**:
- Excellent communication skills with the ability to interact effectively with diverse individuals.
- High level of organization and attention to detail.
- Ability to multitask and handle urgent tasks efficiently.
- Professional appearance and demeanor.
- Positive attitude and willingness to assist others.
