We are currently searching for a talented and friendly Receptionist to become the Ambassador of Quantum Passivhaus. The Receptionist will answer inbound telephone calls, directing the caller to appropriate team member or department, and perform clerical and administrative duties that aid our team members and management. These duties will include preparing and organizing documents, arranging meetings, catering and scheduling of accommodations for staff or guests. Responsible for inter-office communications and managing organizational documentation and records, all of which free the team to perform mission-critical functions.
**Responsibilities**:
**Primary Duties and Function**:
Answer all telephone with a cheerful and positive attitude. Route all calls to appropriate, departments and team members
Model the company’s guiding Vision, Values and Purposes at every opportunity
Greet and care for all clients, stakeholders, and guests who visit the Company, offering a warm and hospitable welcome.
**Day to Day Duties**:
- Perform general administrative and clerical tasks such as:
- Organizing, coordinating and scheduling monthly staff meetings, company events and office activities, arranging meals or travel accommodations for staff
- Prepare and distribute general inter-office communications
- Distribution of general supplies throughout the office and common areas and ensuring coffee and tea station, cleaning supplies and other provisions are adequately stocked.
- Assist in electronic document filing and maintain organizational documentation and records
- Manage incoming and outgoing mail and deliveries.
- Ensure the Office and Common areas such as break rooms, kitchen facilities, Board rooms and meeting spaces are always kept in tidy and presentable conditions and that staff members are adhering to the Company’s Housekeeping Standards.
- Perform other occasional miscellaneous tasks as assigned.
**Qualifications**:
- Reliable and enthusiastic, exemplary work ethic with initiative to complete the job.
- Must be available Monday to Friday, between the hours of 8 am and 5:30 pm
- Experience in google workspace, calendar and meet as well as google docs.
- A reliable vehicle and valid driver’s license is mandatory.
- Realistic ability to commute to Minden or willing to relocate
