Payroll Specialist
The Payroll Specialist is responsible for all aspects of the North American region’s payroll. Functions of this role include preparing and issuing pay checks, calculating payroll-related taxes and deductions, correcting payroll issues, generating reports, communicating on payroll related queries, and ensuring employees are paid on time. This role ensures that payroll records are maintained and in compliance with state and federal regulations and conducts routine audits of payroll records to ensure internal policies and practices are adhered to.
Position Objectives
- Process bi-weekly & monthly payroll for all salary and hourly employees, across multiple states (US) and multiple provinces (Canada) on time and accurately
- Prepare and calculate off-cycle payments
- Review and verify time and attendance records to ensure accuracy of payroll data
- Maintain payroll records and ensure compliance with both State and Federal regulations
- Conduct regularly scheduled audits of payroll records to ensure continued accuracy
- Maintain personnel database regarding wages and salaries
- Respond to employee inquiries regarding payroll issues and resolve any discrepancies
- Manage and reconcile various payroll-related accounts, including garnishments, taxes, and benefits
- Prepare and distribute payroll reports, including year-end reporting
- Manage employee changes, including new hires, terminations, and salary (and wage) changes
- Stay current with payroll laws and regulations and ensure company compliance
- Continuously evaluate payroll procedures to increase effectiveness and efficiency
- Confidence and understanding of payroll procedures ‘end to end’
- Contribute as a valued team member and demonstrate commitment to common goals and targets of the business
Skills, Knowledge and Experieince
- Customer service skills to ensure internal clients’ needs are met and employees feel supported
- Above average Microsoft Excel skills
- Strong attention to detail
- Experience maintaining employee information and protecting payroll operations by keeping information confidential
- Excellent organizational and time management skills
- Ability to work independently and as part of a team
- Strong written and verbal communication skills
- Ability to employ exceptional organization and time management abilities
- Strong knowledge of tax and wage laws
- Ability to work effectively with mínimal supervision
Education and Qualification Requirements
- High School Diploma or equivalent
- Certified Payroll Professional (CPP) or Payroll Compliance Professional (PCP) qualification highly preferred
- Minimum of 5 years’ experience in payroll administration
- Working knowledge of Generally Accepted Accounting Principles (GAAP) and payroll practices
- Proficiency in payroll software and experience with ADP is preferred
Physical Requirements

- Standing or sitting for up to 8 hours per day (based on preference)
- Walking, kneeling crouching, bending, and reaching on an infrequent basis

- Lifting, carrying, pushing and/or pulling of items less than twenty-five pounds on an infrequent basis
- Must pass a pre-employment medical examination.
Salary range for this position is: $28.00 - $34.00/hour
