**Job Title**: Clinical Assistant I
**Reports To**: People and Clinical Services Lead
**Job Purpose**: The Clinical Assistant I is responsible for overseeing front desk operations at the clinic, including patient greeting, care logistics, scheduling, record maintenance, payment processing, and care coordination

At Changepain Medical & Allied Health Clinic, our interdisciplinary team, led by pain physicians, has developed innovative pain treatments that improve function by addressing the myofascial, nerve and cognitive disturbances of persistent pain not addressed by traditional rehabilitation approaches.

**Key Responsibilities**:1. Scheduling and Patient Care Coordination**:

- Coordinate patient care within the clinic, including creating patient charts, greeting patients, scheduling appointments, and escorting patients to and from treatment rooms.
- Ensure clinicians’ schedules are optimized by managing appointments and utilizing waitlists effectively.

**2. Administrative Support**:

- Manage patient intake processes efficiently including assisting patients in completing questionnaires
- Provide administrative support to non-PPM physicians regarding billing verification and optimization, and related tasks before, during, and after appointments.

**3. Backup Clinical Support**:

- Serve as a backup to assist PPM fellows and PPM physicians in procedure rooms by performing patient care in accordance with Changepain’s protocols and delegated medical act processes:

- Equipment Management:

- Check and set up sterile in room clinical equipment for procedures
- Procedure Assistance:

- Completing charting as appropriate templates
- Assist with patient positioning including walking/wheeling patients into the procedure rooms as required
- Provide assistance with procedures as directed by the clinician including assisting with skin cleaning
- Take vital signs using monitoring equipment
- Image Capture & Sterilization: Maintain sterility protocols, and capture ultrasound images as required.

**4. Billing**:

- Process direct billing to third-party insurances and collect payments for in-person, virtual appointments, and no-show fees.

**5. Group Medical Visit (GMV) Services**:

- Provide technical and administrative support during GMV sessions, including attendance tracking, troubleshooting technical issues, and billing support as needed, 15 minutes before the class starts up until 15 minutes into the session.

**6. General Support**:

- Perform clinic opening and closing procedures, including relevant infection control, laundry
- Maintain electronic medical records and ensure patient confidentiality.
- Undertake short-term and long-term projects based on skills, abilities, and clinic needs.
- Execute additional clinical and administrative tasks as required.

**Qualifications**:

- High school diploma or equivalent required; experience or certification in medical assistance or a related field preferred.
- Proven ability to work collaboratively in a team environment, supporting colleagues and physicians to enhance patient care.
- Professional demeanor with good judgment, tact and diplomacy.
- Proficient in addressing patient inquiries with empathy and professionalism.
- Strong understanding of medical terminology for effective communication and documentation.
- Base knowledge of healthcare regulations. Demonstrated ability to maintain confidentiality and ensure patient privacy.
- Exceptional interpersonal skills and ability to work well in a high performing team.
- Experience with MSP, and third-party billing procedures, such as ICBC, WSBC, and others.
- Excellent computer skills with knowledge of MS Office software, such as MS Outlook and Teams, and comfort with digital workspace. Experience with EMR is an asset (InputHealth in particular).
- Excellent keyboarding skills (including speed and accuracy) recommending a typing speed of 40 words per minute.
- Strong verbal and written communication skills.
- Adaptable and flexible to deal with changes, organized, able to manage multiple tasks in a dynamic clinical setting.
- Strong problem-solving skills to address scheduling and patient concerns.
