Willingdon Seed Cleaning Cooperative is recruiting for a Part-time Bookkeeper / Treasurer-Secretary.

Primary duties will include payroll, tax filing, and audit preparation. The applicant will also work with the manager to maintain accounts receivable, payable, and document control. We are transitioning to focus on digital systems and experience in transitioning or setting up new systems would be considered an asset.

Hours will be discussed in the interview but may vary depending on the season and requirements.

Expectations are for approximately 40 hours a month, eight hours a week at first, with a preference for some weekday availability. Additional hours may be required for the preparation of the third-party audit and taxes.

Once digital work orders and payment systems are in place (expected September 2024), onsite and weekday availability requirements will be reduced, leading to a reduction in hours.

Job duties include but are not limited to:

- Filing of Corporate taxes.
- Filing of Corporate GST.
- Administration of Payroll and expense claims.
- Preparation of accounting package for auditor.
- Working in conjunction with the board-appointed account administrator to maintain GICs, bank accounts, loans, and funding.
- Assisting the manager in transitioning from a largely paper workflow to a digital methodology.
- Assisting the manager in maintaining accounts receivable, accounts payable, budget, and metric tracking.
- Assisting the manager in maintaining membership lists, including share purchases, redemptions, and transfers.
- Document control for both digital and paper systems
- Development of accounting-specific operating procedures and programs.
- Additional duties that may be required:

- Attending board meetings, recording and archiving meeting minutes.
- Other administrative duties as directed by the manager

Qualification/Experience
- Accounting/Bookkeeping experience is required including: corporate tax filing, payroll administration, online banking, paper and digital accounting systems.
- Minute Taking experience is an asset
- A Diploma/Degree/Certification related to this field is an asset
- Computer and technological proficiency is required, including QuickBooks, and Microsoft Excel.
- Point-of-sale systems are an asset
- Knowledge of Federal and Provincial Labour Legislation and regulations.
- Working knowledge of operations and maintenance, including annual operating and capital budget preparation and administration, is an asset.
- Excellent verbal and written communication skills.
- A self-motivated and detail-oriented personality.
- Ability to work harmoniously with staff, members and clientele.
- Experience dealing with boards and cooperatives Is an asset.
- The ability to attend board meetings is an asset.
- Remote work options are available; however, the applicant must be on-site at times and must reside within a reasonable commute to the site.
- There will be some work features which create unusual demands and irregular work hours and at times, require the ability to work under tight timelines
