Inventory and Billing Coordinator

**OVERVIEW**:
Reporting to the Accounting Manager, Inventory & Billing, the Inventory & Billing Coordinator is responsible for the billing of product deliveries, whilst monitoring, safeguarding, and validating MacEwen Petroleum’s inventory including retail, card locks, bulk plants, trucks, lubricants, Home Heat divisions and garage inventory.

**RESPONSIBILITIES**:

- Processing, distributing and verifying daily driver paperwork.
- Identifying errors and advising dispatch, requesting corrective action on a timely basis.
- Checking the loading tickets for accuracy against the details held in the system, and invoicing customers accordingly.
- Processing billing chargebacks to customers as well as service contracts on a monthly basis.
- Overseeing the reconciliation of inventory throughout the company and multiple lines of business (including fuel, equipment, tanks, lubricants, garage).
- Ensuring appropriate documentation/backup is in place to validate the accuracy of the company’s inventory.
- Ensuring that costing is accurate, and margins reported properly reflect FIFO.
- Analyzing and researching discrepancies in inventory, reviewing and rectifying where discrepancies occur.
- Creating new inventory product codes within the ERP.
- Reviewing the system holding tables to ensure that invoices are posted to customer accounts, pursuing discrepancies with divisional offices when required.
- Providing support for divisional offices on inventory and costing issues.
- Acting as back-up for colleagues on vacation or absent.
- Any other duty that can reasonably be required.

**EDUCATION, SPECIALIZED KNOWLEDGE & SKILLS**:

- Relevant post-secondary education with Certificate/Diploma in Business, Accounting or Finance.
- 3+ years’ relevant accounting or inventory experience, would be considered an asset.
- A high degree of proficiency in the use of Microsoft suite of software, particularly with Excel.
- Ability to work in partnership with all stakeholders to find permanent solutions when discrepancies arise.
- Exceptional communication and negotiation skills, both verbal and written and on the telephone.
- Ability to multi-task and juggle competing deadlines and multiple priorities.
