**Job Overview**:
This full-time position requires the physical processing of auction inventory and the online management of information to achieve complete, publishable auction catalogues. Details stipulated in the Miller & Miller Standard Operating Procedure are directed by Justin Miller. Key responsibilities include:

- Using the details in each consignor contract to receive and process auction inventory
- Facilitating category specialists to develop complete catalogue descriptions
- Managing the physical flow of auction inventory
- Ensuring category specialists and the photographer meet deadlines
- Managing the safe and accessible storage of all inventory
- Managing the tagging and display of all inventory
- Uploading the auction catalogue on time
- Overseeing the shipping and handling of sold inventory such that orders arrive to buyers safely

Fluency with the Microsoft Word, Excel, Google Suite and Wavebid auction inventory management software is critical. This role is responsible for compiling and uploading each auction catalogue. It requires managing multiple tasks at the same time, and holding specialists, the photographer, the shipping team accountable to standards and deadlines.. Experience in safely handling and packing fragile and valuable historic objects is essential. This is a key position within the Miller & Miller team.

**Responsibilities and Duties**:
**Inventory Intake**
- Ensures Consignment Directors submit complete and accurate intake forms
- Assists Consignment Directors with all aspects of off-site inventory intake
- Organizes offsite pickups, using the materials checklist
- Confirms that all contracts are signed by the consignor and filed
- Enters all consignor information into the system accuratelyAssists Consignment Directors in cleaning and repair
- Photographs all inventory for internal purposes
- Ensures inventory is on carts and dollies using the M&M Guidelines
- Tracks and monitors the location of all inventory

**Ongoing Inventory management**
- Sets up auction spreadsheets,
- Categorizes each item according to worksheets
- Ensures that inventory in the arrival area is clear and always moving
- Manages all unsold and incompatible inventory
- Communicates regularly with specialists, ensuring that catalogue descriptions are completed and proofed within three weeks of notification
- Initiates specialists for attendance at previews, as needed - transfer to consignment director and make a part of planning process
- Works with photographer to maneuver heavy objects; can lift at least 50 lbs.
- Assists consignment directors to provides extra information (additional photographs, verbal description) to specialists if needed
- Prioritizes larger or higher-value objects for photography
- Monitors Google Calendar to check-in and verify incoming inventory
- Accommodates consignment drop-offs as needed
- Communicates with photographer to determine if overtime hours are necessary
- Uploads a complete, consistently formatted, and proofread catalogue on time
- Revises catalogue if revisions are identified

**General responsibilities**
- Enforces 5S principles within the inventory area. Enforces tidiness and order within the auction gallery, such that the flow and safety of inventory is never jeopardized by misplaced tools, equipment, or objects

**Knowledge**
- General knowledge in handling high-value, delicate historic objects
- Uses high levels of emotional intelligence to motivate and encourage specialists and staff
- Accepts consignments with a high degree of confidence
- Conscientious - understands safe and efficient methods of storage
- Ability to store geometric objects together such that they are optimally stored

**Abilities and skills**
- Is obsessed with tidiness, order and organization
- Can prioritize important tasks and manage time wisely
- Clear, concise, to-the-point communication skills both verbally and written

**Qualifications**
- Education level: College/University diploma or degree is preferred
- Experience: Auction industry experience. Museum collections management or an interest in collecting historic objects is a bonus.
