Job Summary:
The Program Manager coordinates the administrative activities relating to the graduate programs affiliated with the Faculty of Health Sciences (FHS). The Manager is responsible to provide the direction and planning of academic services and to give input and advice to the Associate Dean of Graduate Studies (Health Sciences), the Assistant Deans and Area Coordinators, and Directors of Graduate Programs. This position reports jointly to the Associate Dean of Graduate Studies (Health Sciences) and the Director, Education Services. The Manager is also responsible for effective and efficient administration of Medical Sciences graduate program, the largest graduate program in FHS.
Specific Accountabilities:
- Provide effective and efficient management of the administration of the graduate programs in health sciences in order to provide the best possible customer service to current students, prospective students, faculty and other stakeholders
- Provide timely support to the graduate programs by administering completion of the graduate progran1 statistics, surveys and analytical reports, such as graduate program enrollment, utilization of graduate scholarship funds, and factors that influence student academic decision making
- Manage effectively the hiring, supervision and development of staff directly associated with the office of health sciences graduate programs as well as competently manage issues and ensure confidentiality in all matters relating to staff
- Competently manage issues and ensure confidentiality in all matters relating to staff;
- Promote engagement, team building and cooperation amongst the members of the office and all FHS and FHS-affiliated graduate programs
- Ensure compliance with Human Resources policies and Collective Bargaining Agreements, and ensure internal equity amongst staff
- Work with the Associate Dean in an advisory capacity, preparing background materials, making recommendations, identifying issues, and attending meetings as consultant and advisor, particularly with respect to graduate policies and practices
- Ensure adequate space and staffing is available for the office operations as well as for classroom requirements and study space for graduate students
- Manage the operating budget for Health Sciences Graduate Studies (HSGS) and the Medical Sciences graduate programs, including staff salaries, office operations, teaching assignments, scholarships, bursaries, etc.
- Participate in the development and implementation of new programs, by providing advice and acting as an expert in developing budgets and reviewing proposal drafts
- Initiate and lead Faculty-wide initiatives, such as student Graduate Student Ambassador initiative, FHS Open Houses, grant-writing proposal and career related workshops, recruitment information for undergraduates, surveys and reviews applicable to all graduate programs
- Develop social and multi-media tools and channels, such as Twitter, Facebook, and video promotional materials, as well as initiate and oversee outreach, marketing and communication strategies to achieve the recruiting and admissions goals of the FHS initiatives and practices, including, strategic planning, development of cost-effective measures and user-friendly services, maximizing the use of technology where appropriate
- Counsel faculty and students in any area of concern with regard to graduate st udy, including student/supervisor conflicts, academic dishonesty, student appeals, etc.
- Partner and liaise with the School of Graduate Studies, FHS departments and services, as well as University central offices to ensure consistency in implementation of the University strategic goals and initiatives
- Responsible for coordination of the assignment of graduate students as teaching assistants, following the requirements of the collective bargaining agreement
- Oversee graduate course and instructor evaluations utilized by most FHS graduate programs, which allows the analysis of standardized data across the Faculty
- Responsible for effective and efficient administration of Medical Sciences graduate program including admission and all in-course activities and processes, such as registration, counselling, committee meetings, comprehensive examinations, defences, completion of payroll, etc.
- Initiate and organize events for enhancement of the Medical Sciences program, such as retreats, student focus groups, the "Lunch and Learn" services, student and faculty surveys, facilitation of the Impact and Conference Travel scholarships, and career development and mentorship programs
