White Point is a high demand, prime location for many different types of events on the South Shore. From corporate meetings and conferences, to weddings, reunions and more; we host over 200 group-based events annually. We also curate dozens of unique White Point events to help enhance the experience of all of our guests. Our Event Services department is currently seeking an ambitious, organized, self-starter with a dynamic personality to complete the Events team. In this highly productive, detail-oriented role, you’ll assist the department and our clients in delivering memorable events and experiences.
Responsibilities, Qualifications and Experience:
- Reporting to the Event Manager, you will be responsible to respond to new group inquiries as assigned and provide additional support to the Director of Sales, as needed. Group events include weddings, family reunions, small meetings & events, and Christmas parties.
- Accurately acquire details and communicate guest needs to other departments, maintain client files and service standards as described in the Event Services Operating Procedures Manual.
- Ensure coordination of event details including rooming lists, food & beverage requirements, meeting room schedules & set-ups, billing arrangements and event records.
- Help with the overall success of the department with the client’s satisfaction in mind at all times.
Knowledge and Skills:
- Event Coordination experience and effective time-management skills are essential.
- 2-3 years’ experience in the hotel and/or events/food & beverage industry is preferred. Prior experience with reservation software, will be a strong asset - especially Maestro.
- Strong business communication skills - verbal, written and interpersonal.
- Critical thinking and listening skills - you will need to recommend, suggest and guide to the best possible outcomes when considering the client’s needs and how White Point can best meet those needs and accurately disseminate details of events to all other departments.
- Excellent telephone manner, and PC based computer skills.
- Exceptional customer service skills and attention to detail.
- Work well under pressure.
- Solid organizational skills and ability to maintain consistency and procedure for multiple events at a time, through the various stages of booking.
- Post-secondary education in tourism, or events is an asset.
