The City of Hamilton Police Services Board is the civilian body governing the Hamilton Police Service. It is responsible for the provision of adequate and effective police services, law enforcement and crime prevention within the City, a duty it discharges through the enactment of policies. The Board is responsible for the police budget, oversees the actions of the Chief of Police and is the employer for the police service.

SUMMARY
***Under the direction of the Administrator of the Hamilton Police Services Board, the Board Assistant will provide administrative assistance to the board to support its responsibilities under the Police Services Act, and other relevant acts that shall be proclaimed by the Province of Ontario.
**General Duties**
- Assist with preparation and distribution of Board agendas and materials.
- Compile research related to agenda materials, governance best practices & policies.
- Work alongside the Administrator in the set-up of in-person and virtual Board meetings for live-streaming and recording, including assisting individuals providing deputations to the Board and Police Members giving presentations to the Board.
- Prepare draft memorandums, minutes and correspondence for the Administrator and Chair and/or Vice Chair of the Board.
- Provide administrative assistance to Board Members, including scheduling meetings, and event/training/conference registration and accommodations.
- Maintain content on the Board’s website.
- Assist with coordination and execution of special projects and events.
- Maintain electronic and hard copy Board files and indices.
- Ensure essential Board business is conducted in the absence of the Administrator.
**Education & Experience**
- College diploma in a related field or relevant work experience.
- Minimum three (3) years’ administrative experience, preferably in a municipal, police or public sector environment.
**Skills & Competencies**
- Have an understanding of the Police Services Act (PSA) and other relevant upcoming Acts, Freedom of Information (FOI) legislation, Board Policies/Bylaws, Hamilton Police Service (HPS) guidelines, collective agreements and any other applicable legislation.
- Possess political astuteness, tactfulness and an acute sense of confidentiality and judgment.
- Excellent organizational and time-management skills.
- Excellent interpersonal, verbal and written communication skills.
- Proficiency in Microsoft Office Suite of software (e.g. Word, PowerPoint, Excel etc.) including Adobe Acrobat.
- Experience with eSCRIBE is an asset
