The Vicinity Motor (Bus) Corporation (Previously Grande West Transportation Group) is a Canadian bus manufacturer which designs, engineers and manufactures mid-size buses for transit authorities and commercial enterprises. The Vicinity bus is available in a variety of models powered by clean diesel or CNG, designed with affordability, accessibility, and environmental responsibility in mind. Further to this, as a part of the global transition to sustainable transportation, the Vicinity Motor Corporation will be introducing the Vicinity Lightning EV bus, as well as a line of Electric Work Trucks.

We are looking for a Warranty Administrator for preparing, recording, and submitting warranty claims to the factory and/or distributor and reconciles them accordingly. They assist in coordinating training of the warranty system for customers and employees of Vicinity Motor Corporation, as well as perform all administrative duties relating to the warranty department.

**Role Overview**:

- Processing all warranty paperwork to ensure proper documentation for vendor approval
- Provides warranty system training for new users, both internal and external.
- Add/Maintain user permissions within warranty system.
- Verifying criteria required by factory or vendor for submission.
- Reconciling all warranty receivables with payments through the appropriate warranty software Submits credits to accounting to process.
- Evaluates and tracks the warranty services offered and performed.
- Resubmits all rejected claims promptly or receives authorization for write off.
- Follows up on payment of outstanding claims.
- Tracking warranty parts by allocating put away location and making inventory adjustments for replacement parts.
- Coordinating with shipping department for return and receipt of warranty eligible items. Filing and maintaining all service records as required by the warrantor.
- Keeping informed of all factory recalls and bulletins.
- Assisting with any clerical needs as directed by the Operations manager or the controller. Purchasing extended warranties.
- Prepares Summary reports for payment reconciliation and tracking.
- Processing all manager approved policy adjustments.
- Develops good working relationships both internal and external stakeholders.
- Maintains a professional appearance and a neat work area.
- Performs other duties as assigned.

**Requirement**:
- High school diploma or general education degree (GED) essential
- Post-secondary diploma or trade certification preferred
- Related experience in automotive or equipment warranty is an asset
- Strong computer skills, with intermediate level Excel
- Ability to proactively problem-solve and think logically
- Good verbal and strong written communication skills
- Good mechanical aptitude
- Strong interpersonal skills

- Accountability and dependability
