At 416 Dentistry we truly believe that a Dental Office/Operations Manager is an integral part of the team. You will oversee administrative operations, financial management, and staff coordination to ensure our patients receive top-notch care in a smoothly operating environment.

We are currently seeking a Full-Time Dental Office/Operations Manager with at least 5 years of dental experience for our FLAGSHIP location in Scarborough. The applicant must be professional, patient-centered with excellent customer service skills and a team player with strong leadership skills. They must also have an interest to learn, strong organizational and computer skills. **Salary**: $37.00-$45.00 per hour

Expected hours: No less than 30 per week

Must be available some evenings + Saturdays when needed

Chinese speaking is an asset but not necessary.

**Key Roles and Responsibilities**

The Dental Office/Operations Manager is equipped to effectively manage all aspects of the dental practice, from operational efficiency and financial health to staff coordination, patient relations, compliance, and practice growth. Key responsibilities include:
**Business Operations**:

- **Workflow Optimization**:Continuously evaluate and streamline administrative and clinical workflows to enhance efficiency and productivity. Implement best practices and protocols to ensure smooth operations.

**Financial Management**:

- **Business Performance**:Monitor financial performance indicators such as revenue, expenses, and profit margins. Identify opportunities to increase revenue and decrease costs while maintaining high-quality patient care.
- **Billing and Collections**:Our office is a **NON-ASSIGNMENT** office with mínimal Accounts Receivables. Oversee the billing process, including insurance claims submission, patient invoicing, and payment collections.
- **Financial Planning**:Develop and manage budgets, forecasting financial projections and setting financial goals. Collaborate with the dental team to implement strategies for achieving financial objectives.

**Staff Coordination**:

- **Team Leadership**:Provide leadership and direction to administrative and clinical staff, fostering a positive and collaborative work environment. Set clear expectations, goals, and performance standards.
- **Staff Scheduling**:Coordinate staff schedules to ensure adequate coverage for patient appointments and operational needs. Manage time-off requests, shift rotations, and staffing levels effectively.
- **Training and Development**:Identify training needs and opportunities for professional development among team members. Provide training, mentorship, and resources to support staff growth and skill enhancement.

**Patient Relations**:

- **Patient Experience**:Prioritize patient satisfaction by delivering exceptional customer service at every touchpoint. Address patient inquiries, concerns, and feedback promptly and courteously.
- **Appointment Management**:Oversee the appointment scheduling process, optimizing scheduling practices to maximize patient access and minimize wait times. Ensure efficient patient flow and appointment coordination.
- **Patient Education**:Collaborate with dental providers and treatment coordinator to develop patient education materials and programs. Empower patients to make informed decisions about their oral health and treatment options.

**Compliance**:

- **Regulatory Compliance**:Stay informed about relevant laws, regulations, and industry standards governing dental practices. Ensure compliance with HIPAA regulations, OSHA guidelines, and other legal requirements.
- **Quality Assurance**:Implement quality assurance measures to maintain high standards of care and safety. Conduct regular audits and Infection Control/Health and Safety inspections to identify areas for improvement and address any compliance issues proactively.

**Marketing and Growth**:

- **Marketing Strategy**:Collaborate with marketing professionals to develop and execute marketing strategies to attract new patients and retain existing ones. Utilize digital marketing, social media, and community outreach initiatives to enhance practice visibility.
- **Patient Acquisition**:Analyze market trends and patient demographics to identify target audiences and opportunities for practice growth. Implement strategies to attract and retain patients, such as referral programs, patient loyalty incentives, and promotional events.
