**Primary function**
The primary function of the job is to perform a variety of client-focused administrative duties including front-line, in-person, client services. It is an LAO work-based role.
Home Location: North York Family Law Service Centre
Secondary Location: 45 Sheppard
Reports to: Lawyer Manager, Toronto North Family Law Service Centre
**Key accountabilities**
- Reception and filing activities including answering a high volume of telephone calls and in person inquiries
- Providing information to clients and lawyers on the phone and/or in person regarding legal aid processes and/or the status of their file
- Scheduling and re-scheduling appointments for clients and booking interpreters when required
- Reviewing referrals for conflicts and financial eligibility, triaging and assigning them under the guidance of the Lawyer Manager or a staff lawyer
- Making referrals to other agencies or services when appropriate
- Supporting the Toronto Family Law Service virtual triage line as needed
- Opening mail, receiving faxes, and matching the correspondence with existing client files
- Filing paper documents and inputting client file information into Legal Files and the PeopleSoft system
- Processing amendments, authorizations etc. in PeopleSoft system
- Monitoring the status of outstanding certificates
- Recording statistical data and entering this data into the appropriate system
- Checking and maintaining the FLSC’s conflict database and entering pertinent notes for each client contact
- Monitoring and reporting client complaints to Lawyer Manager
- Equipment and usage tracking, including maintaining up-to-date equipment inventory, and recording and reporting copier usage (Excel skills)
- Acting as Health and Safety Representative and Fire Warden for the FLSC
- Performing other duties as assigned
**Required skills & experience**
- Familiarity with family law, Legal Aid Financial and Legal Eligibility Guidelines and LAO policies and directives
Exceptional verbal and written communication skills
- Experience in an office environment and proven ability to deal effectively with vulnerable clients on the phone and in-person
- History of outstanding client service and effective conflict resolution skills
- Team-oriented and well-mannered
- An ability to multi-task effectively in a busy work environment
- Sound organizational skills to ensure the accuracy of information and to maintain control of a variety of administrative of tasks
- Demonstrated ability to use latest communication technologies including Smartphones; and iPhone.
- Must have intermediate knowledge of the following Microsoft programs; Word, Excel, PowerPoint. Experience with Access would be an asset.
- Fluency in French is an asset
