**Regulatory Affairs Execution Supervisor**
Reporting to the National Manager, Government Affairs and Manager, Government Affairs, you will provide comprehensive and in-depth support to the Government Affairs Team with the handling and execution of all recalls, service campaigns, and related actions from their inception through a Notice of Defect to the final reporting to the appropriate government agency. Working closely with internal departments including the executive team, your work will be wide-ranging and will give you the opportunity to demonstrate proven expertise, as well as learn new skills. Your role will be quasi-legal in nature and requires extensive problem solving, communication and extensive time-management and interdepartmental skills.
The** **Regulatory Affairs Execution Supervisor** **will be responsible for:
**Recall Preparation from Notice of Defect Submission to Final Reporting to Government Agencies**
- Independently manage recalls and campaigns, from inception of the recall to close in a strategic and efficient manner.
- Document drafting and preparation of all appropriate communications as required by the following Acts and Regulations: _Motor Vehicle Safety Act (MVSA), Motor Vehicle Safety Regulations (MVSR) the Canadian Environmental Protection Act (CEPA), On-Road Vehicle and the Engine Emission Regulations (ORVEER)_
- Host of Weekly & Bi-weekly meetings with key stake holders includes Customer Experience (CE)/Public Relations (PR)/Legal review for upcoming campaigns.
- Follow up communications with Regulatory Agencies to maintain compliance with regulated time frame.
- Handling of reporting to Transport Canada (TC) & Environment Climate Change Canada (ECCC) the quarterly recall completion report
- Handling and coordination of recall web search function as designated by the _MVSR _and any future requirements that may require changes.
- Responsible for the internal approval process for customer notification documents
- Handling of communication with TC, ECCC and other government agencies regarding recall status/handling
- Handling of escalated inquiries from CE/PR regarding customer/media inquiries regarding recall campaigns.
- Coordination with Kia North America Safety Office (NASO) on recall campaigns
- Coordination with external vendors to execute recall campaign including but not limited to translators, printers and government agencies.
- Coordination and execution of campaigns in a timely manner with other departments (Service/Aftersales/Quality Assurance (QA) )
- Communication and coordination with multiple stakeholders in a timely manner including Warranty, Aftersales, NASO, Distribution, QA, Publications, MOBIS, Customer Experience (CE), PR, Legal, Regional Team and Executive Team.
- Experience with Regulatory documentation and Regulatory filings an asset.
- Support National Manager and Manager of Government Affairs on reporting to headquarters.
**Administrative Duties**
- Act as the intake office for inquiries from internal business units, where you will be expected to obtain the relevant facts for discussion with National Manager and Manager.
- Along with the other team members, over see the department “to do list”, which is a comprehensive list of all tasks to be completed by coordinating with fellow team members.
- Complete billing of invoices.
- Provide recall expense tracking and reimbursement coordination with Warranty Department.
- Document filing, file management, tracking, document retention and general file maintenance.
- Complete research as needed.
- Perform training, presentations as required.
**Skills / Knowledge / Experience / Education Required**
- Bilingualism in French and English is an asset.
- Completion of a relevant post-secondary program and/or at least 4 years’ experience in a legal administrative/support role in a law firm/legal department.
- Must possess strong organizational, analytical and time management skills.
- Ability to multi-task and prioritize with attention to detail - priorities often change with strict timelines.
- Strong interpersonal, communication and presentation skills - you will liaise with many people from outside counsel to internal business units.
- Excellent problem-solving skills
- Excellent written and verbal communication skills adaptable to a broad range of audiences, including senior business executives.
- Strong knowledge of continuous and timely disclosure filing and reporting obligations and timelines
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
- Experience in administrative law considered an asset.
- Familiarity with _Motor Vehicle Safety Act (MVSA), Motor Vehicle Safety Regulations (MVSR) the Canadian Environmental Protection Act (CEPA), On-Road Vehicle and the Engine Emission Regulations (ORVEER) _is an asset.
