**Position Summary**

Reporting to the Finance Manager, the Finance Officer is responsible for providing accounting and finance services to KEC and its stakeholders on behalf of the Department of Finance and Administration. More specifically, the position is responsible for organizing and administering purchasing services which includes the interpretation and enforcement of internal purchasing policies and procedures, maintaining an up-to-date purchase order system, verification of invoices and packing slips and advising team members on purchasing requirements.

**Key Accountabilities**

**Accountability 1: Purchasing (60%)**
- Review, verify, and process POs submitted by schools and the KEC departments
- Identify and follow up on any discrepancies in the PO submission process to ensure file integrity and that corrective measures are taken
- Follow up on outstanding POs and invoices
- Maintain PO files in an organized manner while ensuring all procedures, checklists, and systems are well-documented to ensure seamless audit processes and coverage during absences
- Identify, track, and correct purchase orders for changes to purchases (e.g. cancellations, change fees, no-show costs)
- Support the ongoing development of the finance department by identifying opportunities for process improvements and by raising issues that affect productivity and efficiency
- Ensure all payments and allowances are processed as per the published Finance Policies
- Receive and respond to purchase inquiries from staff and suppliers
- Develop a monthly spending report

**Accountability 2: Fixed Assets (20%)**
- Generates Asset Types and Classes as required
- Responsible for recording the organization’s newly-acquired fixed assets and tracking existing ones
- Calculating and recording depreciation on a monthly basis
- Perform disposals of fixed assets
- Generate monthly Fixed Asset Reports; perform revisions and updates on the detailed schedule of accumulated depreciation and fixed assets
- Serves as the company representative at any audits relating to fixed assets

**Accountability 3**:General Finance and Accounting (20%)**
- Generates monthly journal entries for deposits, banking, corrections to the GL and year-end entries
- Maintains an accurate record of monthly journal entries
- Conduct year end closing procedures (file clean up, following up on outstanding items, etc.)
- Provide support to the Finance Manager and the Director of Finance and Administration as required
- Provide coverage for the associate Finance Officer and Payroll Administrator in their absence
- Assist with other office support as required

**Skill & Competency Requirements**

**Core Competencies**:
The necessary core competencies for this position include the ability to multitask and maintain attention to detail, strong analytical, communication (both verbal and written) and time management skills and the ability to work within a fast paced environment while meeting deadlines. Strong sense of urgency and the ability to meet deadlines without compromising accuracy, attention to detail or quality are critical for this position. The ability to work independently and as part of a team while being able to build and maintain strong relationships with peers, managers and the Schools’ committee members are also required.

**Technical Competencies**:
Required technical competencies for this position include accounting and bookkeeping skills including knowledge of accounting and purchasing processes and systems. An understanding of financial operations, procedures and expenditure policies and the ability to effectively balance multiple accounts. Proficiency in the use of technology and computer programs such as Microsoft Office, ADP payroll software, and Sage Intacct accounting software is critical to the success of the role.

**Education, Knowledge & Experience**
- Certificate or Diploma in accounting or finance is a requirement
- Three to five years of accounting experience
- An equivalent combination of education and experience would be considered
- Thorough knowledge of bookkeeping, accounting principles and budgeting processes
- Proficient in Microsoft Office programs
- Experience working with Sage Intacct software is an asset
