Position Overview
To provide a wide range of administrative tasks to support services to the Nursing Department including word processing (letters, forms, data collection), answering phones, mail sorting and delivery, ordering and maintaining inventory supplies and equipment, maintaining Elder charts.

**Responsibilities**:
**Schedule**:

- Provide information to the centralized scheduling department required regarding staffing line changes, employee LOAs, staff on modified duties
- Provide orientation and ongoing assistance to staff regarding scheduling software

**Payroll**:

- Verifying timecard accuracy and revising as required in scheduling software
- Pull reports from scheduling software as required

**Clerical**:

- Ensure that Elder charts are regularly purged, and items filed appropriately
- Gather all relevant files for deceased Elders and file accordingly
- Fax, copy, phone, type, sort and distribute mail
- Update nursing and Elder forms
- Keep daily and monthly statistics for all uses of materials and discards
- Prepare and dismantle Elder’s charts, requisitions for nursing supplies and order supplies
- Prepare agendas and take minutes for meetings of the nursing department
- Assist nursing staff and/or book appointments for Elders
- Summarize year to date and year end statistics for supervisor
- Provide occasional relief coverage for clerical staff in the Business Office

**General**:

- Incumbents must keep up to date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
- Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis

**Qualifications**:
Minimum Formal Education
- Completion of related certificate or diploma (Office Administration/Medical Office Administration/Health Record Technician
- Advanced computer skills in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook)

Experience
- Minimum of two years recent experience in Office Administration
- Experience working in a long-term care home and/or experience in hospital nursing unit an asset
- Word processing, spreadsheet and database experience considered an asset
- Organizational, interpersonal, problem solving, and muti-tasking skills are essential
