Program Assistant - (1 temporary, full-time Until December 2024)

The Middlesex-London Health Unit has an exciting opportunity for 1 temporary full-time Program Assistant until December, 2024 to work on the Nurse Family Partnership & Early Years Group Programs in the Family and Community Health division at the Citi Plaza location, London Ontario.

**KEY RESPONSIBILITIES**: Under the direction of the Manager, Nurse Family Partnership & Early Years

**Group Programs, the incumbent will**:

- Provide administrative support for the Nurse Family Partnership & Early Years Group Programs Team.
- Prepare and disseminate agendas and take minutes for meetings.
- Schedule appointments and meetings and support the development of, and maintain accurate program calendars and schedules.
- Maintain existing databases, create databases e.g. Excel spreadsheets, run routine reports, and support completion of related reporting documents.
- Format and prepare key documents, reports, and letters, and handle mail.
- Process client referrals, maintain related databases and checklists and run routine reports.
- Order necessary supplies, maintain inventories, resources, mailing lists and key contacts.
- Maintain accurate budget documents, reconcile credit card statements and process invoices.
- Be responsible for filing, record keeping, and document management (paper and electronic).
- Data entry and input of key statistical information on specific Ministry software programs.
- Perform other duties as assigned.

**QUALIFICATIONS**:

- Post-secondary program in administrative studies of at least one year.
- Strong interpersonal and communication skills in order to provide excellent customer service and work effectively with team members.
- Skills and experience in supporting teams and managers, including taking initiative.
- Demonstrated ability to prepare comprehensive and accurate meeting minutes.
- Experience and expertise with Ministry databases (i.e., ISCIS) and electronic medical records (i.e. Profile) considered an asset.
- Skills and knowledge to work with an increasingly diverse population, has knowledge of health inequities.
- Ability to take initiative, problem solve, prioritize work, meet deadlines and balance competing work demands.
- Ability to work efficiently while maintaining a high level of accuracy in work tasks.
- Demonstrated commitment to contributing to a positive workplace environment.
- Ability to work flexible hours.
- Communication proficiency (written and verbal) in French and/or any other language is considered an asset.
