JOB SUMMARY
- Organize supplier information: sales reps, price lists, promotions;
- Maintain, organize & update design library & sample room, retrieve/return samples, etc.;
- Compile requests for materials from designers for samples and orders, as well as placing requests with suppliers and showrooms;
- Follow up on request samples to ensure timely delivery;
- Label, organize, maintain and categorize samples once they have been approved;
- Keep track of all samples and ensure careful handling of sample trays and boxes;
- Verify stock levels with suppliers;
- Obtain quotes and initial pricing from suppliers to support project proposals to obtain necessary information for item setup and PO entry;
- Create project proposal sheets with detailed specifications and photos for client presentations;
- Create quotes;
- Reconfirm initial quotes with regard to availability and pricing before generating purchase orders;
- Generate and process detailed purchase orders;
- Follow-up with purchase orders to receive and verify order confirmations to secure items;
- Ensure all memos are received and shown to the designers to confirm the initial material selection;
- Once memos are approved by designers, confirm with the fabric supplier to reconfirm orders and stocks, or take action to request further memos if designers does not approve of sent memos;
- Communicate with workrooms on the creation of custom goods;
- Coordinate payment and maintain records as required;
- In case of discrepancy, verify information with designers;
- Create project tracking sheets and update said document regularly;
- Create a document for project installers to include installing specification sheets from suppliers, as well as bulb requirements for lighting fixtures;
- Ensure lightbulbs have been ordered and are received prior to installation;
- Make ship date adjustments; resolve shipping problems and relay issues to designers;
- Coordinate with design team, accountant, reps, customs brokers and shipping/logistic providers to ensure proper execution of projects from start to finish;
- Once delivered to warehouse, confirm & verify inspection of items;
- Take action to coordinate returns of any incorrect or damaged items (items that do not arrive according to order) and their subsequent replacement.

EDUCATION AND REQUIREMENTS
- Knowledge of Microsoft Office (Excel, Word, Outlook), and Google Docs;
- Strong organizational skills;
- Extremely detail oriented;
- Excellent time management skills and ability to multi-task;
- Strong written and verbal communication skills (French and English);
- Minimum 1 to 3 years of data entry in a Buyer’s office;
- Knowledge of high-end/luxury home furnishings is an asset;
- Positive attitude, enthusiastic and self-motivated. Great interpersonal and teamwork skills with the ability to work both collaboratively and autonomously;
- Strong math aptitude, data entry proficiency, and analytical skills;
- Complete work with a sense of urgency, accuracy, and follow-up in a fast-paced environment.

Pay: $35,000.00-$50,000.00 per year
