Reporting to Director, Provincial Initiatives and working in conjunction with the Education Services Coordinator, the Registration Coordinator provides support for the annual cancer conference with a number of core functions, specifically on line and on s

**What you’ll do**

Scope and Complexity
- The BCCA Annual Cancer Conference is a professional development, learning and networking event which attracts approximately 1100 medical and community oncologists, scientists, surgeons, radiation oncologists, medical physicists, pediatric oncologists, nurses, pharmacists, functional imaging specialists, nutritionists, psychosocial professionals, pathologists, palliative care specialists and cancer control administrators. The Registration Coordinator is required to multi-task in a detailed, multi-priority environment in a professional and customer-service focused manner.

Communications
- This position communicates with provincial, national and international speakers, delegates and other officials to ascertain their needs with respect to making appropriate arrangements (accommodation, flights, and speaking logistics)

Duties/Accountabilities
- Support the cancer conference registration process by performing duties such as:

- Developing and implementing the online registration form;
- Tracking and reporting registration;
- Troubleshooting individual and group registration issues;
- Processing payments and balancing accounts;
- Monitoring speaker's database to track speaker registration;
- Developing invitation list, including researching and establishing an alumni invitation list, seeking approval through the President, Conference Co-chairs and the Vice President Cancer Care; sending invitations and following-up.
- Registering participants at the conference and providing conference materials.
- Support abstracts/poster presentation process by performing duties such as:

- Organizing meetings and preparing and distributing materials;
- Distributing brochures to health centres;
- Proofreading abstracts for booklet, award certificates and descriptions of poster and awardees;
- Developing an onsite process for layout, judging, and poster setup and take-down.
- Support the award process by performing duties such as:

- Producing marketing materials in conjunction with multi-media;
- Mailing advertisements;
- Preparing on-line award form;
- Checking submissions for completion, including contacting nominator for additional information when required;
- Responding to telephone enquiries;
- Preparing spreadsheet of submissions and copying submissions for selection committee
- Arranging selection committee meetings.
- Participate in the organization of the conference banquet by performing duties such as tracking additions and deletions, designing tickets and making table tents.
- Coordinate the acquisition of conference materials and supplies by performing duties such as tracking inventory and receiving materials.
- Organize and attends operations, organizing committee, and program committee meetings, takes and distributes minutes.
- Assist various committee members by performing duties such as:

- Collecting agendas;
- Updating web and speaker information;
- Collating and distributing conference packages;
- Distributing conference and symposia reminders to staff.
- Performs other related duties as assigned.

**What you bring**

Education, Training and Experience
- A level of education, training, and experience equivalent to Grade 12 graduation. Experience in organizing large events, basic clerical skills such as typing and computer skills plus two (2) years experience.

Skills & Knowledge
- Excellent communication skills, both orally and in writing.
- Demonstrated ability to organize and prioritize work.
- Excellent customer service skills.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
