Overview:
Position Requirements

Education
- Secondary school diploma with additional courses in computer and administrative skills.
- Medical Secretary Certificate required (or equivalent)
- 2-5 years of secretarial experience in a health care setting.

Professional Experience
- Two to five years experience of progressive responsibility, preferably in a health care.
- Experience with administration support to health professionals; maintaining electronic medical records and files, working reception; booking appointments.
- Experience working with the public.

Key Competencies
- Thorough knowledge of and proficiency in office administrative practices and procedures.
- Experience with PS Suite an asset.
- Skill and interest in using electronic client record for computerized appointments and
- Familiarity with office equipment such as printers, copiers, and fax machines
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of medical terminology receptionist experience is a plus
- Experience using electronic medical record systems such as PS Suites
- Experience in OHIP billing
- Excellent verbal and written communication skills
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in data entry and record keeping
- Ability to maintain confidentiality of sensitive information
- Professional demeanor with the ability to provide exceptional customer service

Position Responsibilities

Maintaining Information System
- Support maintenance of an efficient computerized information system through familiarity and continuing education with appropriate software and hardware.
- Maintain client confidentiality in accordance with policies established by the RSLFHT

Secretarial and Clerical Support
- Maintain electronic client medical records and files: prepares, maintains, updates, retrieves, tracks and files charts electronically, as required in role.
- Responds to telephone enquiries and takes messages. Judgement used when determining extent of information given when referring pressing matters to appropriate staff.
- Arranges, coordinates, and confirms client referrals and appointments with specialists and for diagnostic testing.
- Maintains and updates active listing of available specialists, labs and hospital facilities for physician referrals.
- Assists providers to facilitate client treatment by word-processing letters of referral and consultation for professional staff.
- Supports other FHT staff and Programs as required.
- Perform other duties as requested by the Executive Director to maintain an efficient RSLFHT.

Organizational Responsibilities

- Contributes to the FHT’s work by participation in activities that seek to strengthen collaborative and interdisciplinary teamwork, such as inter-component committees and working groups.
- Participates actively in team meetings
- Consults with and provides support to team members and other FHT employees regarding professional issues
- Participates in the FHT’s strategic planning process
- Participates in the development of policies and procedures by providing feedback in the FHT’s policy development process
- Complies and adheres to all applicable FHT policies and procedures
- Participates in staff development opportunities.

Administrative:

- Contributes to the FHT’s activities to collect, analyze and report on data and relevant information;
- Preserves confidentiality of all client and employee information and seeks to minimize risk while working with data;
