**Accessing Opportunities at Côté Gold**

**CLERK, MILL**

The Mill Clerk will provide clerical and administrative support to the mill team, which may include procurement, contract support, billing/invoicing, mill supplies / consumables management, PPE and dry management, records management, report generation, preparing correspondence and general data processing.

**Key Responsibilities**

Area 1:
Provide clerical support to the mill department.- Demonstrate organizational skills and ability to respond to multiple and often competing priorities.
- Maintain computerized filing systems including generating labels, archiving, and retrieving files.
- Prepare and/or validate expense reports ensuring accuracy and compliance with policies and code of ethics.
- Input of data entry for spreadsheets.
- Provide general clerical functions that include, but are not limited to, filing, data entry, and procurement of supplies.
- Assist with coordinating inventory counts.
- Support administrative requirements related to payroll.
- Administrative requirements related to billing, credit memos, receiving and payables.
- Manage and provide updates related to employee training records.
- Additional tasks from the mill department, as required.

Participate in process improvement initiatives to support administration efficiencies.

Area 2:
Administrate schedule and travel coordination for on-site mill personnel.- Prepare, book, follow-up and verify employee travel arrangements with the travel and camp teams.
- Provide cross-shift coverage for other Clerical personnel as required.
- Co-ordinate travel arrangements to and from site as well as on site (Busing from Sudbury/Timmins, site accommodation, flights where required for exceptional travel) for all mill personnel.
- Assist in data entry and management of site personnel roster/schedule.
- Co-ordinate with Off-site administrative and travel co-ordination staff in this aspect

Area 3:
Work collaboratively with others to deliver clerical support.- Interact with all staff, as well as contractors, to coordinate activities and requirements.
- Work with supervisors on administrative and logístical tasks.
- Assist H&S department to execute required H&S Management systems and data is entered and managed as required.
- Provide operations management & supervisors with actions triggered by H&S management system for execution in the field.
- Provide maintenance management and supervisors with daily staffing levels and other logístical support.

Area 4:
Data processing and data integrity.- Assist mill personnel to review operational data and ensure integrity of said data in key systems (Oracle, Vizia and EAM)
- Assist in data entry and management of site personnel roster/schedule
- Assisting mill management to compile data and information for weekly and monthly reports and presentations.

Qualifications

**Minimum Requirements and Nice To Haves**

- High school diploma with related post-secondary training and/or advanced business and management courses.

Work experience - Nature & Length
- A minimum of 3 years of related work experience.
- On-site/camp experience is considered an asset.
- _Additional qualifications - Competency requirements
- Computer literate and proficient in word processing, data entry, spreadsheets, and PC based presentation graphics.
- Working Knowledge with MS office package is required particularly the use of Excel and Power point.
- Experience with ERP systems like Oracle, SAP or similar is required.
- Effective communication skills, verbal and written.
- Proven ability to balance several tasks simultaneously and excellent organizational skills.
- Ability to work with others in a team environment.
- Flexibility to undertake a variety of assignments.
- Pleasant and courteous in interpersonal interactions.
- Fluency in English; French would be an asset.
- Highly motivated and independently driven with a sense of urgency.
- Ability to create dash boards using the power of BI is a great advantage
