The Bookkeeper is responsible for the company's financial plans and policies, its accounting practices, the conduct of its relationships with lending institutions and the financial community, the maintenance of its fiscal records, and the preparation of financial reports including monthly bank reconciliations. This position involves supervision over general accounting, property accounting, internal auditing, cost accounting, and budgetary controls.

**Financial Management**

1. Maintain books of account (including but not limited to preparing checks, coding, and posting invoices, preparing deposits, journal entries, reconciliations, petty cash)

2. Oversee issuing of checks / payment of invoices.

3. Using QuickBooks Online, prepare monthly / quarterly financial statements for project staff, Executive Director, and Board of Directors

4. Liaise with project staff and support them in book-keeping needs related to their program areas.

5. Oversee accounts receivable.

6. Complete all payroll functions in partnership with the Human Resource Manager.

7. In partnership with the Executive Director, maintain investment schedules, oversee cash flow requirements, and communications with bankers on investments.

8. Oversee internal system of handling funds in accordance with the financial policies of the organization.

9. Maintain year-end working papers and spreadsheets and assist with preparation for any audits or independent reviews with support from the Executive Director and treasurer.

10. Complete monthly reconciliation for all accounts (bank and brokerage accounts).

11. Exert care and control over assets and records and establish procedures for safeguarding, including security and computer backup (copy virus checked and stored off-site).

12. Assist in maintaining policy and procedure documentation for complex financial and accounting issues.

13. Provide technical support (including software updates, troubleshooting and back-ups)

14. Maintain current knowledge of regulatory changes and impacts on the organization's books of account.

15. Maintain an accurate and complete trail of supporting documentation for all financial and bookkeeping activities.

16. Maintain up-to-date, complete, and systematic filing system to support book-keeping and financial records.

17. Provide forensic book-keeping services as necessary.

18. Development, analysis, and interpretation of statistical and accounting information to appraise operating results in terms of profitability, performance against budget, and other matters bearing on the fiscal soundness and operating effectiveness of the organization.

19. Establishes major economic objectives and policies and prepares reports that outline the company's financial position in the areas of income, expenses, and earnings based on past, present, and future operations.

20. Coordinates and directs the preparation of the budget and financial forecasts, institutes and maintains other planning and control procedures (including the cost accounting system) and analyzes and reports variances.

21. Is responsible for tax planning and compliance with Federal, Provincial, and local corporate, payroll, and other applicable taxes.

22. Furnishes internal reports, revises and updates reports to be more useful and efficient and furnishes external reports as necessary.

24. Evaluates and recommends insurance coverage for protection against property losses and potential liabilities.

25. The Bookkeeper has the final responsibility for providing effective financial controls for the organization.

26. File and store required government forms inclusive of ROEs, TD1 forms, T4 and T4Aa, T3010, and HST rebate claims.

27. Oversees all staff functions in relation to financial, assets, and inventory.

28. Maintain systems for donations and donor records, according to organizational priorities.

**Requirements**:
2. Extensive experience using QuickBooks Online.

3. Experience managing QuickBooks Projects or Not-for-profit fund accounting is an asset.

4. Demonstration of experience in working from a strengths-based and relationship-based perspective.

5. Strong accounting, technical, and administration skills.

6. Excellent organizational, attention to detail, able to meet deadlines, and time management skills.

7. Effective oral and written communication skills.

8. Have experience that can demonstrate exceptional work ethics and practices.

9. Responsive, proactive, and strong problem-solving skills.

10. Ability to work in fast-paced environments with limited supervision.

11. Must have a clean child abuse registry check, criminal record check, and be bondable.
