**About this role**:
We are looking for a Receptionist to join a multi-national company for a 15 Month mandate, who will play a key role as the face and voice of the company and contribute to bringing our corporate culture to life. The position resides within Culture Talent Management (CTM - aka HR) and offers administrative support across the organization.

**What you'd be doing**:
**Reception**
- Open and close Reception
- Answer all calls promptly, and direct callers
- Answer and direct all customer service inquiries
- Serve visitors by greeting, welcoming, and directing them appropriately
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges
- Observe and report any security issues to the Facilities Manager

**Mail**
- Sort outgoing and incoming mail and packages

**Administration**
- Keep informed of all company policies and procedures
- Support all supply requests for all of employees; ordering, distributing, and keeping inventory
- Prepare Purchase Orders in the Finance System (Zycus) for a variety of items
- Business Card process
- Stamp Machine duties
- Ordering of baby and get well baskets, flowers and various donations
- Lost and Found process
- Taxi Coupons, give out when needed log information and order when needed
- Order name plates
- Support other departments in their monthly administration (e.g.: invoices, reporting, etc.)
- Participate and support event planning
- Participate and support in CSR activities
- Put up CTM decorations for Christmas, in the reception area
- Update and manage various subscriptions
- Update Reception Guidebook as needed
- Create employee file for new employees
- Filing for payroll and employee files
- Backup for all travel-related matters
- Backup for DocuSign and Ascent administration
- Back up for Vending Machine issues
- Back up to book meetings for the executive team
- Any other work, duties, projects, or ad hoc requests as assigned

**What we look for (Job Qualifications)**:

- 2 - 4 years’ experience as a receptionist / office administration role
- Advanced English/French, both verbal and written
- Strong command of MS Office Suite (Word, Excel, PowerPoint)
- Ability to conduct web searches for special projects
- Ability to create and maintain various reports and databases

- Ouvrir et fermer la réception
- Répondre à tous les appels rapidement et les rediriger
- Répondre à toutes les demandes de renseignements de la clientèle et les rediriger au service à la clientèle
- Accueillir les visiteurs en les saluant et en les orientant de manière appropriée
- Assurer la sécurité en suivant les procédures, en contrôlant le registre et en délivrant des badges aux visiteurs
- Signaler tout problème de sécurité au gestionnaire des installations.
