Under the direction of the Senior Legal Counsel & Privacy Officer, the the Legal and Compliance Coordinator will provide support to the Senior Legal Counsel & Privacy Officer, and internal stakeholders at First Canadian Insurance Corporation and Millennium Insurance Corporation. This may include matters related to insurance licensing and regulatory affairs, privacy, and compliance, and will also assist with projects as needed to accomplish larger legal and compliance objectives for the companies. This role requires a unique blend of skills and experience as it bridges both administrative tasks and technology for reporting and tracking critical information. Having a strong aptitude for learning and leveraging technology combined with an ability to effectively multi-task, and manage multiple time-sensitive priorities to ensure the efficient operation of the Legal and Compliance Department are key for this role.
**Essential Responsibilities**:
- Manage technology platforms for legal administration for efficient tracking and monitoring of department responsibilities.
- Oversee the Camms regulatory compliance management system, including assisting with conducting annual reviews of controls and updating the database with information on new and/or revised controls.
- Analyze data and generate comprehensive reports using technology platforms such as Camms, Power BI, and IBMi to provide insights into risk exposure, trends, and mitigation strategies to support decision-making processes.
- Work in coordination with the appropriate internal personnel and external brokerage services to maintain the Company’s insurance portfolio, including annual automobile insurance renewals for Company vehicles (in respective provinces and territories), commercial general liability renewals, cyber insurance, and property coverage. Claims coordination may also be required.
- Demonstrate expertise in writing and updating policies and procedures to align with changing organizational needs and compliance standards.
- Track, log, and update Company vehicle lease information, including driver details, provincial registrations, and fee payments.
- Assist with the creation and maintenance of reporting tools to generate metrics for quarterly Board reporting, including regulator interactions, complaints handling, training delivery, policy revisions, and compliance updates.
- Assist with review, analysis, and response on escalated consumer complaints and privacy inquiries.
- Support the development and rollout of legal and compliance educational training materials to Company employees.
- Create an efficient file management system for legal documents, precedents, and correspondence.
- Special assignments or tasks as assigned by the Chief Financial Officer and the SVP Marketing & Administration.
- Willingness and ability to adapt to emerging technologies in data analysis, staying current with industry trends and advancements.
- Responsible for administrative assistance to Senior Legal Counsel & Privacy Officer and Chief Financial Officer, including expense and document management.
- Other duties as required or assigned.
**Qualifications**:
- A post-secondary diploma and/or university degree in a related field. Recent graduates with an interest in the insurance industry, compliance, privacy, or the law will be considered.
- 3+ years of experience as a legal assistant is an asset or equivalent, is required.
- Experience with Camms and Power BI, is preferred.
- Experience with IBMi, is an asset.
