Avillia Developments is looking for a summer student to join our team from May-August

We seek a bright, bubbly, and motivated individual looking to work as an Executive Assistant & Receptionist.

You are organized and can manage schedules and competing priorities with ease. You have a keen eye for detail, thrive on a deadline, and have the “let’s figure out how to solve this” attitude. You have killer time-management skills, love a good “to-do” list, and, more importantly, get great satisfaction finishing off these “to-do” lists.

- You are not only comfortable with urgent items but also embrace them, deal with them, and then get back to your regularly scheduled program.
- You are a Swiss vault when it comes to confidentiality.
- You are just as comfortable working with senior executives as you are with staff on the frontlines.

**What You’ll Do**:

- Provide administrative and office support to our team - you will be the heart of our group
- Lead the company’s reception area (you are the face and voice of our company)
- Ensure team members are prepared for meetings and other obligations by reviewing invitations and agendas, then prepare briefing notes if required.
- You are the Executive Assistant to Avillia’s President - you will be his “right-hand” person managing his calendar and ensuring he is prepared for all aspects of his day
- Organize documentation by keeping information current and relevant
- Manage the team’s filing and document retention.
- Coordinate team meetings, seminars, workshops, and special events logistics.
- Review executive correspondence and documents to ensure no typos, errors, or content issues, making edits as necessary.
- Troubleshoot and escalate office administration issues as they arise.
- Present a positive and professional image.

Besides these duties, there are other roles and responsibilities, for we are a team, so we grow together and support each other.

**What You Bring**:
As our Executive Assistant & Receptionist, you possess the following:

- A positive, self-starter attitude
- An understanding of office procedures and practices.
- The desire to be proactive daily and anticipate what is next.
- A surgeon’s eye for detail - you probably checked this ad for grammar and spelling
- A willingness to learn from your mistakes but a desire for continuous improvement in all you do.
- Computer knowledge and skills with MS Office, Adobe, internet-based programs, and general PC use
- Exemplary customer service with a desire to ensure a positive experience every time.
- Ability to multi-task with various high-priority projects while maintaining quality craft through efficient time management.
- A resourcefulness that can outmatch MacGyver and Googling combined

**What’s Important to Us**:

- Working toward a post-secondary diploma/certificate in Business Administration or a related industry field.
- Able to work in the office Monday - Friday 8:30 am - 5:30 pm.
