**DUTIES AND RESPONSIBILITIES**:
This position is responsible for the administration of internal and external need and merit-based awards programs at Durham College, including entrance, in-course and external award programs. They also coordinate and administer the BSWD program. As the Financial Aid Systems coordinator, the incumbent is responsible to maintain, update and implement continuous improvement to the banner student aid system and related modules. Responsible for uploading, downloading and interpreting large complex ministry data files and development and management of OSAP cost codes.

**Coordinate and deliver provincial, federal and college bursary and awards programs**:

- Provides assessment and adjudication of need and achievement based awards.
- Oversees the development and implementation of workshops regarding awards, financial literacy and alternative financial aid programs to students, parents, teachers and counsellors.
- Reconciles and reports to Director on Ministry and Institutional bursary accounts and other MCU data analysis.
- Performs regular database maintenance, including reviewing import of student data, export of awards decisions, and processing of awards transactions.
- Approves and process student refunds.
- Chair team meetings to discuss issues and make recommendations for improvement to Director and implement subsequent changes regarding bursaries, scholarships, awards and workshops
- Assist with implementation, revision and maintenance of scholarship and bursary processes and systems.
- Liaises with Development Office, finance, faculty and staff to develop award guidelines and ensure effective promotion, processing and distribution of awards.
- Maintain external scholarship programs.
- Approve distribution of bursary and scholarship funding to eligible clients according to internal and external policies and procedures.
- Enters and maintains student awards records on internal and external systems.
- Researches and provides advice on external award opportunities and system and processing improvements.

**Student Aid Systems Lead**:

- Works with the Manager to identify improvements in processing and service delivery in the Financial Aid and Awards Office.
- Monitor statistical information and make recommendations to the Director on the delivery of financial aid award programs to increasing numbers of students. Identify at risk and marginalised groups and support recruitment and retention.
- Provide leadership to other Financial Aid Officer’s in determining work priorities regarding the banner student aid system and awarding bursaries within the set timelines and guidelines, Institutional and Ministry imposed deadlines, assessment of non-standard situations and makes recommendations to Director when required.Develop and manage Durham College cost codes.
- Assists in the identification of procedural problems and operational issues, within the unit and refers complex problems related to service delivery to the Manager and Director.
- Assists the unit in determining the need for new or improved functionality and makes recommendations to end user needs for access to information
- Investigates, troubleshoots, and where possible, provides solutions and resolves system functionality issues related to service delivery workflow.
- In collaboration with the Manager and in consultation with stakeholders, designs user workflow, including processes for students, award administrators, and other parties. Develops documents and training materials for new processes.
- Monitors and analyzes metrics on trends and effectiveness; prepares regular reports and updates, and makes relevant recommendations to the Manager.

**QUALIFICATIONS**:

- A minimum of a three-year advanced diploma or degree in Business or Office Administration.
- A minimum of five (5) years of work experience in a financial aid and awards environment and expert knowledge of MCU systems, data processing and administration.
- Proven knowledge and ability to implement OSAP Ministry policies and procedures and institutional financial aid programs.
- Advanced proficiency in MS Office and Banner Student System.
- Working knowledge of HTML and electronic publishing software an asset.
- Thorough knowledge of government, College, external aid and award programs, and awareness of Provincial issues regarding financial aid and awards within the College system.
- Excellent creative problem solving, analytical, decision-making skills, superior judgement, tact and diplomacy.
