Under the supervision of and reporting to the Manager, Customer Experience and Materials Management, the Inventory Control and Purchasing Coordinator determines the quantity and order date for materials needed to meet the service and sales requirements. This position will source and purchase products, parts, or other material goods or supplies necessary for the successful execution of order fulfilment on time and within budget. This role has a significant impact on the quality, timeliness, and cost-effectiveness of the purchases that are essential to the delivery of the orders. This position requires a keen eye for detail, a commercial mindset, and be able to evaluate market conditions and different suppliers. Well-developed communication and interpersonal skills will help this position negotiate effectively and maintain profitable relationships. This position maintains administrative records as required, as well as analyzing inventory levels, inventory flow, and maintains statistics and performance monitoring reporting.

Strong internal working relationships, cross-departmental communication, sharing of information, and collaborative problem solving is essential for this position. Well-developed communication and the willingness to share information internally to increase the learnings of the team, and improve the overall organizational effectiveness is a key requirement of this position.

Main duties
- Planning and managing inventory levels (25%)
- Managing and maintaining current inventory to ensure that that there is sufficient inventory to meet the organization's needs.
- Assessing stock supply and re-order status, creating reports on supply counts and materials.
- Pro-actively managing inventory to avoid out-of-stock and over-stocked products.
- Tracking shipments to ensure they are complete, correct, and on time.
- Identifying and resolving discrepancies in inventory.
- Preparing and verifying requisition of additional stock items, following the approved process within the organization.
- Preparing quantity specifications for the organization’s product requirements to meet manufacturing requirements.
- Recommending methods to handle current inventory and improve the use of company resources.
- Ensuring selling prices for product is kept current.
- Providing inventory forecasts to ensure product availability for the organization’s manufacturing operations, including predicting future inventory needs, and producing plans for buying based on forecasts and sales data.
- Administrative support and records management (25%)
- Preparing and maintaining reports and files to record inventory used or moved to proactively manage potential discrepancies.
- Maintain reports related to shipments received or made.
- Entering data into a database or other computerized system to maintain up-to-date stock records, and retrieving information.
- Entering, maintaining, and reporting on BOM’s included in special build projects.
- Placing orders as required to maintain inventory stock requirements.
- Responding to enquiries, including, but not limited to inventory levels or delivery schedules.
- Delivering on profitable purchasing strategies (25%)
- Assessing supplier profiles and analyzing offers.
- Utilizing effective negotiation tactics in the delivery of cost-effective and timely purchasing requirements.
- Managing relationships with key suppliers to maintain quality of goods, timely delivery and compliance to terms of contracts.
- Researching and implementing the best combination of quality, price, payment terms, and delivery speed to ensure the contract obligations are fulfilled.
- Preparing and submitting detailed reports (revenues, buying expenditures etc.) to the Manager as required.
- Providing purchasing planning and control information by collecting, analyzing, and summarizing data and trends.
- Building good working relationships with internal resources to ensure timely, accurate flow of cost related information.
- Purchasing administration (25%)
- Preparing purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from the Manager, as well as the Manufacturing Engine
