KEY DUTIES & RESPONSIBILITIES
Reception
- Answer and direct phone calls
- Provide polite and professional communication
- Provide general support to visitors and staff
- Handling internal and outgoing mail and couriers
- Organize travel arrangements including book transportation, hotels, etc.
- Primary contact for office maintenance
General Administration
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Maintain computer and manual filing systems
- Ensure operation of equipment; calling for repairs; maintaining equipment inventories
- Maintain office supplies inventory; anticipating needed supplies; placing and expediting order; verifying receipt
- Coordinate staff health and safety training including PPE supplies with HR.
- Coordinate new employee startup with HR and IT
- Coordinate return of equipment at staff exit
- Coordinate and attend meetings including lunch and learn sessions
- Maintain office kitchens and supplies.
- Effectively communicate with Coordinators and Managers to obtain information needed to complete assigned tasks
- Assist the Business Support Professionals with various tasks including formatting of documents.
- Maintain the office security / fob system (program fobs as needed)
KNOWLEDGE AND SKILLS
- At least 2 years of experience in an Engineering Office
- Excellent written and verbal communication skills
- Attention to detail and accuracy as well as problem solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Proficient in MS Office and DocuSign
- Strong organizational and planning skills
- High school diploma or equivalent; college diploma preferred
