Shop Controller- Job Number : 45234The Fleet Services controllers are responsible for the overall management of various City of Edmonton department fleets that are sent to outside vendors to perform maintenance. This position is responsible for triage, contract compliance management, internal and external communication, performance monitoring and coordination of work.

This position requires an in-depth understanding of maintenance requirements, criticality of units, customer requirements and vendor applicability & capacity requirements. Overall the position performance is measured by turn around, customer satisfaction and downtime measures which determine the success of the incumbent and the overall section.

- Triage requests and determine priority and timing of the initiation of each request
- Determine appropriate contract or non-contracted vendor based on scope of work, customer impact, garage impact, required turn around, vendor applicability and vendor capacity
- Create vendor quotes, work requests and work orders within the fleet management system (M5) and associated purchase requisition required within SAP
- Source quotes with vendors and determine the successful vendor based on contract requirements and optimizing cost versus, customer requirements and overall maintenance timelines
- Ensure vendors that are required to perform maintenance on a City of Edmonton site have the applicable WCB and insurance certifications
- Track vehicle status and location, and provide input for efficient movement or placement of vehicles for repair within the garage site, or arrange for the work to be completed at other Fleet Services garages or external vendors
- Determine the extent and time requirement for work and schedule work to ensure an efficient and productive vendor turnaround time
- Coordinate timelines to garage personnel including foreperson, planners, engineering services, clerks, materials management staff and other appropriate internal services staff, all in accordance with branch policies and procedures
- Coordinate movement of units from either the garage or customer site to the vendor
- Contact customers to confirm scheduling and logistics of unit deliveries to vendors ensuring that downtime is minimized for the client
- Provide updates to the customer on status of units and estimated return to service
- Perform other related duties as required
- Qualifications:

- Grade 12 or equivalent supplemented by an Alberta Journeyperson certification as a Heavy Equipment Technician and/or Automotive Service Technician. Equivalencies in education may be considered
- Minimum of 5 years’ of progressively responsible experience required within a large and multidisciplinary fleet repair and maintenance environment
- Previous relief shop controller coverage experience will be considered an asset
- Strong problem solving skills with strong interpersonal and teamwork experience
- Confidence and attention to detail and an aptitude for critical thinking will assist in problem solving and troubleshooting
- Advanced proficiency in using Fleet Management System software and overall strong computer skills are required
- Strong customer service skills are required as this position will be the first point of contact for the customer
- Knowledge of a large scale repair and maintenance shop environment and procedures and associated scheduling and work loading analysis and planning
- Knowledge of mechanical/auto body/welder functions as it applies to the safe maintenance and repair activities within the shop as well as the limitations and capabilities of the current shop environment
- Knowledge and familiarity with a wide range of vehicles and equipment and their associated servicing and repair requirements
- Ability to assimilate new types of vehicles and equipment into the environment and to respond to changes in technology and methods
- The ability to accurately and quickly diagnose customer problems and to meet service delivery expectations and commitments in accordance with customer requirements,vendors and current shop resources
- The ability to effectively plan and monitor a wide range of concurrent maintenance, repair and modification functions to ensure optimum shop performance and cost containment and to make changes to schedules in response to emergent or other unusual priority situations.
- Must possess sound interpersonal and teamwork skills, effective listening skills, fostering strong working relationships and strong technical writing and research skills
