Governed by an active board of Directors, The Calnash Ag Event Center is a 60,000 + Sq. Ft. indoor ag eventing facility, featuring a 130’ x 240’ indoor arena, a 110’ x 140’ warmup pen, seating for 600 spectators, fully supported by a 280+ stall stable, outdoor arena and covered livestock handling systems. In operation since 2012, it has developed a solid reputation in the industry with promoters and contestants for a world class facility and experience. Located centrally and supported by a community focused on Western Heritage, bookings in the facility are sought after.

The Opportunity
As the Premier agriculturally based eventing facility in Western Canada, the Calnash Ag Event

Position Summary
Under the direction of the General Manager, the Bookkeeper is a key member of the Calnash
Microsoft skills. The primary duties of the bookkeeper are to provide financial administration support, perform general office bookkeeping duties, reconcile accounts for both payable and receivable. This position is part-time but could lead to a full-time position.

**Responsibilities**:
Customer Service
- Deliver exceptional service to our clients and customers in a timely manner
- Liaise with internal teams to ensure client and customer needs are supported and met

Communication

Clerical Tasks
- Post Journal entries and reconcile accounts, prepare trial balance of books, maintain general ledgers
- Prepare monthly financial statements and reports for operating committees
- Responsible for all accounts payable and accounts receivable
- Calculate and prepare cheques
- Bank reconciliation and deposits
- Balance sheet account reconciliations
- Complete accurate yearly WCB reporting
- Assist and maintain year-end financial working documents and spreadsheets
- Record charitable donations and charitable contributions, issue receipts
- Responsible for maintaining up to date files including computer back-up copies of all financial documents
- Conduct financial administrative duties to support the General Manager in the day-to
- day operations.
- Maintain clear and accurate documentation/procedures for reference and training purposes.
- Prepare other statistical, financial and accounting reports
- Edit and format manuals, documents, reports, spreadsheets, and presentations.
- Prepare, edit, and proofread correspondence, invoices, presentations, publications, and related documents.
- Other administrative duties as required; including photocopying, filing, mailing, typing etc. as required.

Payroll
- Preparation of bi-weekly payroll for hourly and salaried employees in a timely and accurate manner.
- Time sheet management and onboarding documents for new hires
- Maintain and update employee information, such as records of employee attendance, leave and overtime to calculate pay and benefits
- Prepare and verify statements of earnings for employees
- Prepare payroll related fillings and supporting documentation
- Identify and resolve payroll discrepancies

Event Support
- Create, distribute, and maintain client correspondence or documentation on behalf of the General Manager.
- Assist with creating and balancing cash requests during events including ATM requirements

Staffing Support
- Provides support and coverage as required to other Managers.
- Provide coverage for other support staff during vacations, illness and other absenteeism as requested by the General Manager.
- Ensure compliance with company standards and procedures.

- Cash handling experience required
- Background check is mandatory for this role

Required Qualifications
- Certificate in bookkeeping and accounting or equivalent recommended.
- Minimum 2 years accounting/booking experience specifically with full cycle bookkeeping, payroll and account reconciliations
- Must have experience with Quick Books
- Experience with Ceridian considered an asset
- Experience providing reception and administrative support in a fast-paced office environment considered and asset.
- Proficient computer skills (Microsoft Office, Quick Books)
