The Operations Manager, under the direction of the Branch Area Director, oversees the day-to-day branch operations and manages the administrative team. This incumbent also supports and actively participates in risk management activities, the internal auditing programs, ISO audits and supports business development activities as appropriate. The Operations Manager manages / oversees and assists as needed in human resource activities such as recruiting, advising on HR related matters, and managing admin staff performance. S/he ensures alignment with strategic direction provided by the Branch Area Director and the National Service Centre.
**DUTIES AND RESPONSIBILITIES**
- Assisting in the collection of required reports for the Management Review meetings.
- Participate in the management of the annual budget and audit.
- Assist with business development as requested.
- Manage reporting for funders/customers in a timely as per the contract outlines.
- Manage client issues and concerns in a knowledgeable manner, document information and perform follow-up until a resolution is achieved.
- Oversee client service coordination through use of Procura / Alayacare and in consultation with clinical manager(s), client development manager(s) and area director.
- Ensure timely communication with clients and caregivers regarding service scheduling changes either directly or by ensuring scheduling team efficiency.
- Coordinate human resources activities including recruitment and selection, maintaining employee files up to ISO standards and advising on the timely resolution of employee concerns.
- Motivate and manage the performance of the admin team.
- Assist with office operations including space allocation, scheduling, and workload coordination to maximize effectiveness and efficiency.
- Tracking and tending the implementation of follow-up actions as identified through the internal audits and Management Reviews.
- Participate in ongoing internal and/or external continuing education activities.
- Adhere to Bayshore Policies and Procedures.
- Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
- Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify Branch Area Director immediately of any Health & Safety risks or concerns. Responsible for completing Accident Reports for all direct reports who injure themselves on the job, within 24 hours of the incident.
- Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
- Liaison with all Branch property managers.
- Process Accounts Payable and Payroll.
- Complete other tasks as requested.
**REPORTING RELATIONSHIPS**
The Operations Managers reports to the Branch Area Director and liaises with Regional Director. Depending on the organizational structure of the Branch Office, this position may have various administrative positions reporting to them.
Job Qualification
**Education**
Completion of a bachelor’s degree in a health or business-related field is preferred.
**Experience**
At least five years of progressively responsible recent experience in office management, two of which were at a supervisory level; strong track record of performance and knowledge/exposure to of business operations, business development, financial management and human resources.
**Other Skills and Abilities**
Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format; ability to work independently and as part of a team; excellent coaching skills and commitment to continual learning; above average communication and problem-solving skills. Strategic, high energy, positive, holds strong ethics and is good at relationship building.
