Under the general supervision of the Payroll Manager and with the guidance of the Comptroller, the Finance & Payroll Administrator provides payroll and finance administration for the University. This position will be primarily responsible for providing administrative support and coverage for the payroll and finance department. This position will be a 1 year term position.
**Duties**:
Payroll
- Accountable for complying with federal and provincial legal requirements by studying existing and new legislation; enforcing adherence to requirements.
- Accountable for providing payroll information by answering questions and requests as required while maintaining employee confidence and protecting payroll operations by keeping information confidential.
- Accountable for assisting with the internal payroll and accounting audits on a semi-annual basis.
- Accountable for working closely and collaboratively with other departments regarding all applicable Payroll Process activities.
- Accountable for preparing/maintaining reports and data analysis as required and responding to correspondence from third parties.
- Payroll reporting and reconciliations.
- Maintains payroll documentation and files.
- Supporting Payroll Manager with the setup up new employees and new hires. including handling all compliance forms.
- Health & dental benefit updates.
- Reviewing employment contracts to contract tracking spreadsheet.
- Perform other related duties as required by the Payroll Manager.
Finance
- Responsible for ensuring confidentiality with respect to all information obtained in the performance of duties.
- Coordinate and record Travel Expense claims, Professional Development Request forms, Elder Honorariums/Guest Lecture Request forms, Travel advances, ensuring proper approvals prior to payment.
- Issue payment to employees and Elders in a timely manner, including matching up expense claims.
- Record payroll entries from payroll in finance system.
- Prepare payroll related reconciliations in finance system in coordination with Payroll Manager and Comptroller.
- Supporting T4A procedures for Elders and guest lecturers.
- Perform other related duties as required by the Comptroller.
**Qualifications**:
- Certificate in Business Administration with an Accounting focus or an Accounting Certificate.
- Two-years of experience directly related to the duties and responsibilities specified.
- Must possess or be willing to obtain a Canadian Payroll Certification.
- Ability to maintain confidentiality of records and information.
- Ability to gather data, compile information, and prepare reports.
- Demonstrated ability to meet regular deadlines.
- Ability to work independently with minimum supervision.
- Strong organizational skills and database management skills.
- Strong interpersonal and communication skills and the ability to work effectively.
- Knowledge of payroll and accounting processes, procedures, and documentation, as applicable to a public institution.
**Salary Range**: APT Grade 4 ($61,265 - $82,416)
