Community Program Coordinator
Reports to: Library Director
Direct Reports: Program Assistant, volunteers
Wage: Starts at $17.28
Hours: 35 hours per week. Includes some evenings & Saturdays.
Nature of Position
The Community Relations Coordinator will be a vital member of the Portage la Prairie
Regional Library team, responsible for fostering strong relationships with donors, members, and the community. This role will encompass various aspects of community engagement, communications, fundraising, and event coordination, contributing to the library's growth and sustainability.
**Responsibilities**:
- Overseeing Departmental Budget and Fundraising: Collaborate with the Library
Director to manage the departmental budget, strategizing and executing fundraising efforts to ensure financial sustainability.
- Membership Retention and Growth: Develop partnerships with similar organizations, encouraging new members to join while enhancing retention of existing members.
- Donor and Member Stewardship: Build and nurture relationships through newsletters, reports, surveys, personal outreach, and correspondence. Create materials to renew gifts from current donors and secure new contributions.
- Supporting Programming: Assist in planning and executing engaging workshops, exhibitions, and discussions that align with community interests. Reporting qualitative and quantitative data for Boards, Councils, and other funders.
- Database Management: Optimize the use of the Monday database system through template development and process streamlining to track and organize fundraising campaigns and grants.

Knowledge, Skills, and Abilities
- Strong communication skills, both written and verbal
- Ability to cultivate trust-based relationships with community partners
- Proficiency in online database systems, such as Monday
- Excellent organizational and time management abilities
- Experience in event coordination
- Capacity to work effectively in team and independent settings
- Proficiency in MS Word, Excel, and Outlook
**Qualifications**:
- Previous experience in communications, fundraising, or community engagement within the charitable or non-profit sector
- Strong communication skills, both verbal and written
- Ability to develop trust-based relationships with community partners
- Excellent organizational and time management skills
- Event coordination experience
- Ability to coordinate internal and public meetings
- Able to work efficiently in a small team setting as well as independently
- Proficient with MS Word, Excel, and Outlook
Preferred Qualifications:
- Relevant education in communications, non-profit management, or a related field
- Experience with budget management and fundraising strategy development
- Familiarity with database systems for donor management
- Demonstrated success in community engagement and relationship building
Experience
- Experience in communications, fundraising, or community engagement within the charitable or non-profit sector
- Event coordination experience
Working Conditions
Usual office environment with frequent contact with the public. Moderate physical effort required, including handling of materials of moderate weight, pushing and pulling of carts, etc.
