**Project Assistant**

**Summary**

Under the responsibility of the Vice President of Operations, the Project Assistant will perform tasks related to the production of reports for the calculation of monthly operating costs for all projects as well as administrative support for the department.

**Main responsibilities**
- Project planning and start-up_
- Maintain and ensure that subcontractor and client contacts are up to date.
- Support in the opening and maintenance of files for the various projects.
- Administrative support for the projects_
- Support and accompany the project managers in their daily needs.
- Prepare and record purchase orders and contracts associated with projects.
- Compile production data and timesheets for monthly reports, as well as create Excel-based follow-ups.
- Provide support for monthly invoicing.
- Perform document formatting and report writing according to project specific standards.
- Responsible for all site closing processes including the preparation of technical documents or reports to be given to clients.
- Coordinate the liaison between the administrative team and the job sites.
- Answer incoming calls and ensure detailed message taking.
- Relationships_
- Maintain collaborative relationships with construction, civil and mining project managers, estimating department, finance and procurement department, and management.
- Maintain a professional and trusting relationship with professionals, subcontractors, suppliers and occasionally clients.

**Qualifications**
- DEC in Administration / Training or relevant experience.
- More than three (3) years of relevant experience related to the administration of construction/civil engineering projects and in a fast-paced and changing work environment.
- Strong knowledge of English and French.
- Excellent command of the Office Suite (particularly Excel).
- Communication and writing skills.

**Conditions**
- Schedule: 10-4, 10H a day;
- Must reside in Sudbury;
- If living more than 120km away: room and board + transport allowance;
- Group insurance and group RRSPs.
